Purpose of Position

In the Office of General Counsel, we help our clients solve problems that affect their diverse educational, research and business missions. Formally, we are a full-service legal department composed of 31 attorneys in three practice groups: Business Law, General Law, and Health Law. In partnership with other campus-based attorneys, we serve all 14 institutions of the UT System.

But no single day is typical for any of our universities, so our commitment is to provide, or when necessary, develop all the substantive expertise our clients need. For that reason, the ideal candidate will be an individual who thrives in, and can promote, an atmosphere of constant communication with, and problem-solving for, our diverse clients, including UT System officials; academic, business and health leaders at our institutions; and campus-based attorneys.

Position will be filled either as LEGAL ADMINISTRATIVE ASSISTANT or LEGAL ADMINISTRATIVE ASSOCIATE depending on qualifications and experience.

Both the LEGAL ADMINISTRATIVE ASSISTANT and LEGAL ADMINISTRATIVE ASSOCIATE will provide all aspects of responsible legal and administrative support for health law attorneys and UT System professional medical liability benefit plan.

Essential Functions

LEGAL ADMINISTRATIVE ASSISTANT

  • Coordinates, tracks, monitors and oversees special projects or assignments
  • Collects, assembles and maintains information and prepares reports, correspondence and presentations based on information and knowledge of Health Law operations
  • Maintains confidentiality and discretion while performing sensitive tasks
  • Drafts documents for review and use by section attorneys
  • Coordinates appointments, meetings and travel
  • Maintains database and files, manages records in OGC's electronic file system
  • Other duties as assigned

LEGAL ADMINISTRATIVE ASSOCIATE

  • Monitors and organizes workflow for attorneys
  • Prepares and reviews reports, proposals, presentations, and correspondence to ensure specified objectives
  • Coordinates, tracks, monitors and oversees special projects or assignments
  • Drafts documents for review and use by section attorneys and others
  • Manages, reviews, responds to, and files communications
  • Performs research on a variety of projects and legal issues
  • Coordinates appointments, meetings, and travel
  • Other duties as assigned

Knowledge, Skills & Abilities

LEGAL ADMINISTRATIVE ASSISTANT

  • Knowledge of standard office practices
  • Excellent customer services and communication skills - both verbal and written
  • Ability to use standard office equipment such as copy machines, scanners, multi-line telephones and fax machines
  • Ability to use standard laptop computers
  • Ability to perform basic tasks using the Microsoft Office Suite
  • Ability to work collaboratively with enthusiasm and team mentality

LEGAL ADMINISTRATIVE ASSOCIATE

  • Knowledge of standard office practices
  • Excellent customer services and communication skills - both verbal and written
  • Ability to use standard office equipment such as copy machines, scanners, multi-line telephones and fax machines
  • Ability to use standard laptop computers
  • Ability to perform basic tasks using the Microsoft Office Suite, including PDF's (removing Metadata), Excel, Word, etc.
  • Ability to work collaboratively with enthusiasm and team mentality

Required Qualifications

LEGAL ADMINISTRATIVE ASSISTANT

  • High school diploma or GED and 3 years of progressively responsible experience is required. One year of college (30 semester hours) may be substituted for one year of the required experience on a year-for-year basis, allowing up to a maximum of 2 years substituted experience.

LEGAL ADMINISTRATIVE ASSOCIATE

  • High school diploma or GED and 7 years of progressively responsible experience is required. One year of college (30 semester hours) may be substituted for one year of the required experience on a year-for-year basis, allowing up to a maximum of 2 years substituted experience.

Preferred Qualifications

  • Experience in working with medical records, healthcare setting and/or in litigation
  • Experience in customer service
  • Ability to use iManage/FileSite or other business/legal application databases
  • Ability to obtain notary license

Working Conditions

  • May work around standard office conditions
  • Repetitive use of a keyboard at a workstation

  • Hybrid work environment (remote & office)

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to a minimum of 20 hours per week and at least 135 days in length.

A background check will be conducted on candidates under final consideration. The background check may include any or all of the following: criminal history check, prior employment verification, education verification, professional references check, and motor vehicle records check. Background checks are conducted by third-party vendors. Upon request form the third-party vendor, candidates under final consideration must provide the required information for the background checks to be completed.
