Legal Support Coordinator - Bilingual

Job Description

Reviews Company policy and communicates legal guidelines and consequences of violations in response to inquiries from members of the independent sales force, corporate staff and third parties. Inquiries range from routine to non-routine and relate to the terms of the Independent Beauty Consultant (IBC), Independent Sales Director, and Independent National Sales Director agreements. Completes special projects assigned by the Legal Support Team Supervisor, Manager and/or Legal Support Specialists.


Responsibilities

  • Responds to legal inquiries that do not require action by a Company attorney from the independent sales force, members of other departments within the Company and appropriate third parties. Advises on rules for conducting business and consequences of actions per the terms of the Independent Beauty Consultant, Independent Sales Director, and Independent National Sales Director agreements (“Agreements”). Issues may include, but are not limited to, advertising inquiries or approvals, retail selling situations, credit card misuse, identity theft, information requests, military permit requests, etc. The nature of such issues range from routine to non-routine and are often fact intensive. Reviewing such issues requires the ability to take fact scenarios, identify the fundamental compliance enforcement concepts and develop a plan for addressing the issues involved. This includes, but is not limited to, gathering facts, assimilating information, evaluating pertinent information to identify what provisions of the Agreements or other legal concepts apply and what compliance enforcement steps should be taken. Utilizes established guidelines and experience to make recommendations and answer questions. Discusses options with Supervisor or Legal Support Specialists before conveying answers or decisions to inquiring party. Responds to inquiries via original written communications, form letters, telephone and/or e-mail. Escalates complex issues or those with potential significant impact to the Company to Supervisor(s) or Legal Support Specialist. Updates and maintains documentation regarding Independent Beauty Consultant-related matters in department’s database tracking system.
  • Attempts to resolve disputes within scope of responsibility amongst Independent Beauty Consultants and between the Independent Beauty Consultants and the Company. Follows standard practice to assess the level of cooperation and responsiveness from violators, track the number of complaints, and determine when to recommend termination of an IBC to supervisor and/or Legal Support Specialists who conduct final review before a recommendation is presented to Sales Development. Exercises a high level of sensitivity, ability to think quickly and exhibit professionalism when conveying decisions on behalf of the Company that may be perceived as negative or difficult.
  • Completes special projects as required. Recommends and drafts articles for publication reiterating Company and/or legal policies and procedures relating to the independent sales force based on types of calls received. Reviews and researches internal departments’ requests to identify independent sales force members who may have violated the terms of the agreement; communicates appropriate information. Notifies Sales Development, Regional Distribution Centers, and other departments of trends, problems, etc. that are identified through the inquiry and investigation process.
  • Attends Company-sponsored conferences as needed, and works at the Legal Resources booth as a department representative, distributing legal guidelines and responding to inquiries. Participates in other education outreach efforts as needed.
  • Performs miscellaneous duties as required, including assisting in the training and development of new Legal Support Coordinators and provides information and assistance regarding the Legal Support function to team members as needed.

Skills & Experience

Experience: 5+ years

Education: High School Diploma or Equivalent

Language: Bilingual in Spanish

  • Strong oral and written communication skills are required, including good spelling and grammar, to provide information to other departments, draft articles for publications, and to create documentation.
  • Must be able to utilize judgment and make sound decisions regarding how to respond to issues, when to escalate to management and appropriate course of action to recommend.
  • Requires ability to demonstrate tact, courtesy and professionalism when providing answers and decisions which may be perceived as negative or difficult in nature.
  • Analytical skills to assess information and resolve problems.
  • Familiarity with Microsoft Word, Excel, and Outlook required.
