In this role you will join a dynamic organization that is responsible for delivering services and solutions for the National Geospatial-Intelligence Agency and similar spatial, intelligence focused agencies. This position is a key member of the Spatial Solutions front office staff, which includes human resources, finance, security, quality, contracts, and program management. Our Executive Administrator is chartered to nurture and grow relationships with the front office, our business area leadership, as well as extended workforce that direct-report into our Program Management leaders.The successful candidate will be an experienced Executive Administrator that favors action and enjoys working with a diverse team. The Executive Administrator ensures that all Division functions operate smoothly, including meetings, weekly activity and monthly operating review reporting, new hire onboarding, equipment inventory, and equipment distribution. The Executive Administrator works very closely with the Division Manager, Program Managers (PM), Deputy PM, and front office staff.Core hours are 8:00 to 5:00 with an hour for breaks and lunch within the day at the Reston HQ location with Friday work location being flexible. The ability to perform more days a week in a hybrid work location model, after the first 90-days, is an option once communications and organizational designs are well established. When the position becomes hybrid, the expectations are that core office hours remain. Note: business requirements require flexibility and may require in-office events be supported at any time.Job Duties:• Maintain Division Manager calendar - Schedule meetings, create and distribute meeting agenda, take notes as needed, and distribute read-ahead and meeting output materials• Manage Division Manager email as needed• Ensure that email distribution lists for the Division are kept up to date• Support Division front office and Program Management leadership team with administrative functions to include Meeting presentation preparation.• Assist in preparation of weekly status reports, monthly operating reviews. Monthly all hands, etc.• Reserve conference rooms and ensure room is set up correctly before meeting begins• Maintain a corporate charge card to use to secure catering as needed, order IT equipment, and make other authorized purchases as required• Work with Talent Acquisition (TA) and Human Resources (HR) to provide Day 1 Details for all new hires, as needed• Distribute IT equipment to Division leadership and support staff workforce as needed, to include processing equipment requests and maintaining inventory log• Maintain action item tracker, including who owns actions and when they are due• Process and submit expense reports as needed on behalf of the Division leadership team• Reserve locations for program events, including happy hours and other engagement activities• Assist in other division and/or operation activities as needed to include prep, clean-up, food/snack provisioning, office supplies, etc.Minimum Required Qualifications:• Must possess a High School diploma or equivalent and 5+ years of prior relevant experience in the administrative or project management areas.• Success in this role will require excellent verbal and written communication skills.• Excellent Microsoft Office suite (Word, Excel, PowerPoint, 365 and Teams) along with web applications with specific focus on formatting and presentation structures.• All candidates must be US citizen.• Must possess active and current Secret clearance to start.• Must be able to obtain and maintain TS/SCI clearance.Preferred Qualifications:• Bachelor’s degree or some college experience is desired.• Familiarity with Concur (or similar travel management system), CostPoint, Deltek, and Workday (or similar HR system).Original Posting Date:2024-07-29While subject to change based on business needs, Leidos reasonably anticipates that this job requisition will remain open for at least 3 days with an anticipated close date of no earlier than 3 days after the original posting date as listed above.Pay Range:Pay Range $53,950.00 - $97,525.00The Leidos pay range for this job level is a general guideline only and not a guarantee of compensation or salary.
