Marketing Coordinator & Executive Assistant

We’re in search of an organized, professional real estate Marketing Coordinator & Executive Assistant to serve as the main point of contact for the CEO. Your responsibilities include relaying important messages to the broker, scheduling the broker’s meetings and trips, and systematizing information in the client databases. In addition, you’ll need to file paperwork and purchase office equipment, and assist with other team needs. Applicants should be decisive, thorough, and excellent communicators. Compensation:

$38,000 - $75,000 yearly

Responsibilities:
  • Function as the main point contact for the principal broker
  • Manage the client database to keep information orderly and confidential
  • Pay and input invoices on a regular basis for the broker
  • Adjust to the needs of the real estate office and execute other assistant duties when necessary
  • Execute office management tasks such as systematizing office records, and buying office equipment
  • Answer phone calls, emails, and other requests and notify broker of necessary details
  • Schedule meetings, travel itineraries, and any other relevant appointments for broker

  • Oversee administrative aspects of the team's Real Estate business
  • Create and manage systems for agents, sellers, buyers, client database management, lead generation tracking, lead follow-up, and all office administration
  • Coordinate the purchasing of marketing materials and other business-related supplies and materials
  • Create and/or maintain/update any current business operations manual and all job descriptions/employment contracts for any future hires
  • Hold agents accountable for conducting all agreed-upon lead-generation activities
  • Work with Team leader & Director of Operations to help the organization achieve our mission
  • Answer phones, follow up with clients, assign leads, etc.
  • Gather and input new listing specifics
  • Pick up and deliver commission checks, signs, lockboxes, etc.
  • Assist our agents in their day-to-day business
  • Help to assure our clients have the most amazing experience from start to finish with our team
  • Coordinating marketing, 36 Touch, and events at a high level
  • Use your creative mind to move our business forward in all ways

Qualifications:
  • Familiar with Microsoft Word, Excel, and Multiple Listing Service
  • High school diploma or G.E.D. required
  • 2-3 years experience providing administrative support in a personal assistant role, or similar
  • Used to handling private information and meeting hard deadlines
  • Prior experience in real estate is a bonus
  • Strong interpersonal skills and time management skills

  • Be learning-based and want to learn and grow with the organization
  • Excellent communication skills
  • Attention to detail is a must! Precise, thorough, and accurate
  • Experience as an administrative assistant is preferred
  • Experience in Real Estate is preferred but not a must
  • Have to be great at using Microsoft Office, web-based software such as all Google products, the internet, and computers in general (This is a Must)
  • Be able to manage calendars and agents/other admin
  • Ability to perform work against deadlines
  • Be a quick learner and ability to master programs and systems and adapt as needed
