MGH Primary Care, part of the Department of Medicine and Division of General Internal Medicine (DGIM), is an integrated network of academic, urban, suburban and community health center-based practices. The clinical work within the fifteen sites includes adult internal medicine and medicine/pediatrics . The Administrative C oordinator will receive general direction from the S enior A dministrative M anager to support the operations of the MGH Primary Care Indirect Initiative. The Adm i nistrative Coordinator will partner with the Indirect Initiative team and on-site practice leadership to manage and track the out-of-office /vacation coverage for approximately 250 primary care providers and support the daily schedule and staffing of the Indirect Initiative, which currently includes a team of 25+ advanced practice providers.
Emphasis is placed upon the ability to independently manage operations while using a high level of judgement and consistent and clear communication. The individual must feel comfortable interacting with colleagues at various levels in MGH Primary Care while maintaining a high degree of professionalism and confidentiality. The position is primarily in-person for the first 3-6 months with an option to transition to hybrid after training.
Responsibilities
• Manage and oversee the scheduling process for the indirect initiative:
• Manage Indirect Initiative APP schedule. Identify gaps in coverage and proactively manage shift coverage
• Using Epic and Microsoft tools, track and manage the time away for approximately 250 primary care providers to ensure there are sufficient APPs to cover practices.
• Regularly lia i se with primary care and practice leadership, including site Medical Directors, Nurse Managers, and Practice Managers about indirect initiative.
• C ollaborate and communicat e with indirect initiative leadership team including, Director of Nursing , Director of Strategy , L ead APP, Nurse Manager, and Senior Admin istrative Manager.
• Oversee feedback received by primary care sites and present it to the indirect initiative team.
• Identify areas to streamline and improve existing processes and operations . Propose recommendations in alignment with primary care and the indirect initiative.
• Support special projects primary care leadership identifies as needed.
• Bachelor’s degree preferred
• Demonstrated ability to be flexible, highly organized and thoughtful, in a fast-paced, complex environment
• Ability to take initiative and proactively identify problems and propose solutions
• Strong analytic skills and attention to detail
• Software Experience: MS Office, UKG/Kronos, Epic
• Experience working on projects
• Effective interpersonal, communication and organization skills
