Position Title: Executive Assistant
Location: San Diego 
Salary Range: $28.00 - 38.00
Overview:
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be a skilled communicator, detail-oriented, and able to manage multiple tasks in a fast-paced environment. This role is crucial in ensuring the efficiency of daily operations and will involve a variety of administrative and project management tasks.
 
Key Responsibilities:
  • Administrative Support: Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Communication Management: Serve as the primary point of contact between executives and internal/external stakeholders, ensuring clear and professional communication.
  • Documentation and Reporting: Prepare and edit correspondence, reports, presentations, and other documents as required. Maintain and organize files and records.
  • Meeting Coordination: Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Project Management: Assist in managing special projects and initiatives, coordinating efforts across departments to ensure timely completion.
  • Office Management: Oversee office supplies and equipment, ensuring a well-functioning work environment.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Qualifications:
  • Bachelor’s degree or equivalent experience in business administration or related field.
  • Proven experience as an executive assistant or in a similar administrative role.
  • Excellent organizational skills with a strong attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • Strong verbal and written communication skills.
  • Ability to prioritize tasks, manage time effectively, and work under pressure.
  • Demonstrated ability to work independently and as part of a team.
  • A proactive approach to problem-solving and ability to anticipate the needs of executives.
