Job Summary:

Responsible for managing multiple providers at multiple site locations.  Assuring optimal site operations in collaboration with the entire AssociatesMD Team.  Position will partner with providers to ensure timely and quality care, providing leadership, coaching and mentoring to associates at Urgent Care locations.  Responsible for all aspects of office operations including the training and development of associates, estimating personnel needs, assigning work, meeting fiscal targets, supporting system goals, and ensuring consistent application of AssociatesMD policies.

Primary Job Responsibilities: 

  • Builds strong positive communication with physicians and works as a team to enhance the success of the practice.
  • Develops strong inter-department teamwork to meet the needs of the patients and physicians and drive decision-making and other actions.
  • Identifies and implements opportunities to build employee morale and individual motivation.
  • Explains financial requirements to the patients or responsible parties and collects copays as required.
  • Responsible for keeping the reception and patient waiting areas, and office files clean and organized.
  • Monitors medical office supplies and inventory needs, places orders and oversees office equipment.
  • Collaborates with Manager/Human Resources to ensure personnel policy development and communication to staff to achieve consistency in labor and employee relations.
  • Promptly and professionally answers telephone calls. Routes calls appropriately, offering voice mail, or redirection of calls as needed.
  • Serves as role model for all staff.
  • Plans, evaluates, recommends and implements new initiatives when appropriate.
  • Responsible for assuring customer/patient service needs are met. Monitors patient service feedback and contributes to the process of resolving complaints and service issues. Plans and initiates process improvement and cost reduction opportunities.
  • Act as a liaison between the practice and support departments such as; IT, Human Resources etc.  
  • Follow appropriate process to request service from support department.
  • Perform regular environmental safety checks and documentation, report and monitor deficiencies through resolution.
  • Coordinate staffing schedules, including holidays and vacations.
  • Collaborate with other managers and staffing coordinators as needed.
  • Utilize practice metrics to optimize practice performance.  This includes, but is not limited to; staffing benchmark, expense management and patient volume.  Explain to providers if necessary.
  • Demonstrate knowledge of various work flow models, with proactively addressing improvements to workflows.
  • Maintain proficiency utilizing electronic medical records (EMR) and practice management (PM) applications.
  • Position is onsite at the medical clinic.

ADDITIONAL RESPONSIBILITIES: 

  • Maintain confidentiality of sensitive information
  • Document work processes as required.
  • Perform other duties as assigned

Experience: Minimum 3-5 years of Urgent Care management

Education/Certification/Licensing Requirements:

  • Prefer completion of a course in Medical Terminology. DOT certification.

Additional Requirements: 

  • Willingness to work evenings and/or weekends as needed.
  • Wiliness to attend continuing education courses at the request of the employer.
