About the Department
The Marketing and Communications Department sets our brand tone. They construct and magnify stories and messages to help and inspire people through running, across advertising, media, brand strategy, creative materials, video, photography, race broadcasts, editorial, brand presentations, and multiple web and digital platforms. They connect with the world's best athletes and ambassadors to deepen NYRR's mission. They leverage channels ranging from international broadcasts to screens at our NYRR RUNCENTER, individual emails to mass media, and from digital journeys to race day signage. The Marketing and Communications team connects NYRR's initiatives and innovations to the hearts and minds of our community, inspiring them to run for life. Broadcast & Video Production team oversees NYRR’s live television broadcasts, including the TCS New York City Marathon and United Airlines NYC Half, and manages the organizations video content creation with a focus on developing compelling and entertaining video content around existing events, programs, and initiatives to raise awareness, drive engagement, and attract monetization opportunities for the organization. 
 
About the Position 
This position is responsible for supporting the administrative and operational responsibilities for the workflow for a busy, in-house creative services team. This includes tracking and communicating timelines and communicating with stakeholders throughout the organization to ensure timely completion of all creative projects. This includes branding, production design, content assets, video, and photography projects for all NYRR projects and initiatives. With light supervision, follow existing procedures to ensure timely and correct completion of a high volume of creative projects. 
 
Job Responsibilities (primary and secondary duties): 
  • Work closely with internal stakeholders and designers to develop and produce materials for all NYRR products, events, and initiatives. 
  • Maintain and communicate master schedule for creative development for all departments of NYRR.  
  • Communicate timelines and status for all creative projects, including numerous line items for large events, initiatives, and campaigns. 
  • Approve and assign briefs to designers; maintain daily contact with cross-functional leads on the development and approvals for all projects. 
  • Collaborate with IT in agile development of briefing and project management tracking tools. 
  • Track status of Brand Creative Studio projects/assignments, while coordinating with stakeholders on deliverables. Meet with teams each week to provide status updates on all open projects and refine timelines. 
  • Assist with the creation and tracking of vendor and consultant agreements in Salesforce as needed. 
  • Collaborate with the Creative Brand Studio team on projects as necessary. 
Job Requirements:  
  • Bachelor’s degree in related field preferred, but not required
  • 3+ years of related work experience, preferably in creative project management
  • Previous project trafficking and event production experience a plus
  • Creative timeline production experience (including Print, Digital, Video, and Photo experience) a plus
  • Proven ability to learn new tools and technologies to support and implement new initiatives
  • Proven ability to work quickly, tracking the details of large volumes of fast-moving creative projects
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • Highly skilled in Microsoft Office (focus on Excel with functions, PowerPoint, and Word)
  • Familiar with Adobe Creative Suite (Illustrator, InDesign, Photoshop)
  • Netsuite and Salesforce experience a plus
  • Familiar with process of developing and launching new workflow tools, supporting staff training, and continuing agile (iterative) development of tools.  
 
Weekend Work Requirements 
  • All staff are required to work the United Airlines NYC Half Marathon, RBC Brooklyn Half Marathon, and the TCS NYC Marathon.
Salary: $65,000
 
NYRR requires all employees to be vaccinated against COVID-19 unless approved for a medical or religious exemption.
