About You
As our Executive Assistant, you’ll provide critical support to the CEO and CFO, helping ensure the company meets its strategic business and financial goals. You’ll have a working knowledge of the executive's duties, to not only effectively schedule the executive's appointments but also ensure workflow is productive and objectives are achieved. Your Day in the Life
• Manage and coordinate executive calendars by scheduling meetings, appointments (private or business), and/or conference calls.
• Prepare CEO and CFO for meetings by gathering data needed so that they understand their role and effectively participate
• Screen incoming calls and voice mail - answer the phone to either take a message, redirect the call, give the call to the executive and/or respond to the caller’s needs
• Manage incoming/outgoing mail and calendar items via Outlook (inbox, outbox, sent items, deleted items), faxes, letters, or packages. Handle routine emails and save/print attachments as necessary.
• Arrange complex and detailed travel plans and itineraries
• Assist in preparing agendas and other related meeting materials
• Handle confidential information with the utmost discretion, ensuring all sensitive communications and documents are protected.
What You Bring to the Team
• Multitasking prowess
• Professional presence, strong written, and verbal communication skills
• Excellent listening and assessment skills
• Ability to be professional and maintain confidentiality at all levels of communication
• Proven ability to develop and maintain strong relationships with managers and external partners
• High degree of initiative and follow-through
• Ability to exercise independent judgment
• 5+ years of experience supporting executive-level staff
• HS Diploma or equivalent
• Computer proficiency in Microsoft Office and Outlook
