About this role
This position provides administrative oversight of the office and working alongside office staff. We are seeking an individual who is comfortable speaking about our services and willing to work within guidelines and policies. This person will work closely with the Family Services staff in relation to the Homeownership program, Home Repair Department, and Youth Empowerment Program (YEP), but will also assist in other administrative task as needed. Awareness and sensitivity to Cultural and Ethnic differences is required.
Key Responsibilities

Answer Phone calls and visitors’ questions

Accept Applications and paperwork from individuals and timestamping the information received

Work alongside the Family Services Coordinator to schedule dates for orientations, L.O.I., Expectation class and meetings.

Work alongside the Family Services Coordinator to review applications for accuracy and completeness
-
Work alongside the Family Services Coordinator to identify client -participation needs, homeowner needs, recruitment needs, program issues, financial, social and marketing issues by conducting research projects.

Work alongside the Family Services Coordinator to administer and manage the maintenance of an adequate filing system and proper record retention of applications making sure that all information is handled correctly and confidently.

Make suggestions and recommendations for program effectiveness and success as it relates to administrative tasks

Receive and distribute mail to staff daily

Coordinate quarterly Family Services newsletter and mailing

Monthly TV Power Point
-
Maintain database of program participants and program data (Salsa)

Work alongside all program staff with projects
-
Coordinate room reservations and room set up
-
Maintain inventory of office supplies
-
Arrange for maintenance and repair of office equipment as needed
-
Maintain appearance of front office and copy room space
-
Ability to pass a pre-employment drug test, background check, and random drug testing as selected
Other Duties:

Communicate the Mission and Vision of Habitat

Assist with Habitat special events as needed

Comply with all policies and procedures
-
Other Duties as assigned by Director

Accept warranty requests for construction director
-
Manage and track participants hours using excel (sweat equity)

Requirements:
Qualifications
-
High School diploma required, associate degree preferred
-
Prior experience in customer service or as a receptionist desired
-
Must be computer literate, organized, and attentive to details
-
Data entry experience required
-
Excellent oral communication skills in English required – fluency in Spanish desired

Ability to work with confidential information
-
Proficiency in MS office suite
-
Excellent typing and data entry skills
-
Knowledge of office procedures and equipment
Other Requirements: Adhere to schedule, show initiative, honest, drug free, positive attitude, customer service oriented, must have dependable transportation to work
