Job Description:
The Office Administrative Services position provides operational support to the Chicago office and supports processes and projects in delivering an exceptional client experience for the firm. This position requires exceptional customer service, communication, organizational and process skills including technical competence in Microsoft applications with a high level of focus on quality, accuracy, and attention to detail to effectively prioritize. Reports to the Office Manager and is a member of the Global Services (GS) team.
Support office administration functions and processes with assistance, coordination, and backup duties.
Support local office communications using Microsoft Teams, SharePoint, and other forums.
Order and stock office supplies and breakroom supplies and support the maintenance of these areas.
Coordinate access for visitors, vendors, and delivery persons.
Provide information and guidance to support a busy meeting schedule.
Assist with business planning activities, employee events, and office initiatives.
Manage routine and special client requests demonstrating the ability to listen attentively, use critical thinking to solve problems and implement solutions promptly.
Strong dedication to helping customers resolve issues and cultivating a positive image of the GS team and the firm.
Maintain a secure physical environment in compliance with risk management policies.
Collaborate with team members to provide a welcoming, efficient, and productive office environment.
Develop, format, and edit a variety of documents, spreadsheets, presentations, or other deliverables.
Maintain printer supplies and printer stations, troubleshoot, and schedule vendor service calls for devices.
Process incoming and outgoing U.S. mail, FedEx, and courier services.
Serve as a local office safety coordinator and first responder including maintaining supplies and equipment.
Qualifications:
Five years or greater of office services and administrative experience in a professional services environment.
Professional presence and exceptional client service skills, with the ability to build strong working relationships at all levels, internal and external to the organization.
Intermediate skills in Microsoft Word, Excel, PowerPoint, Adobe Professional, Outlook, SharePoint and web-based applications are required with ability to learn various other programs and applications.
Effective verbal and written communication skills and competency in proofing, grammar, and attention to detail.
Team player with a high energy level, and ability to respond to client service issues in a prompt, courteous and professional manner. When faced with obstacles, the ability to use creative and analytical thinking.
Effective coordination skills with ability to balance and prioritize daily responsibilities and projects while working well under pressure to meet deadlines in a challenging environment.
General knowledge of office process oriented, accurate and quality focused with the ability to create efficiencies and enhance delivery.
Desire to leverage technology to solve business problems with the ability to also provide user guidance.
Additional Requirements:
Able to work an in-office schedule of Monday through Friday from 8:00 am – 5:00 pm
Estimate an annual average of up to 5% overtime.
Ability to lift 30 pounds, extensive walking, standing, and bending involved.
Reliable and dependable with an excellent attendance and punctuality record.
