Office Assistant, Advancement

The Office Assistant, Advancement, is a split role, providing administrative support to the Director of Annual Giving and the Director of Alumni & Parent Relations and, where appropriate, to their teams. The Office Assistant has direct engagement with a wide range of external constituents including alumni, parents, trustees, donors at all levels and volunteers, and interacts with other college offices. This is an in-office position.

Managing donor, volunteer and other data is a key responsibility, so the Office Assistant must be experienced with Excel and Google Sheets, and able to learn how to use all Advancement databases and volunteer platforms.

In addition, the Office Assistant coordinates the scheduling, project tracking and HR functions (onboarding processes, timesheet approval, etc.) for Annual Fund and Alumni Relations student interns.

This is a part time, non-benefited position with a part time under 50% (PTU50) schedule. We are seeking a candidate to work 15-17 hours per week. A PTU50 position is approximately 910 hours per year.

Responsibilities:

  • Respond to requests from alumni about their giving, volunteer service, upcoming events and provide general alumni relations customer service, primarily via phone and email.
  • Assist teams with data management using Excel, Google Sheets and other fundraising and alumni relations programs and platforms.
  • Provide general administrative support for the Director of Annual Giving and the Director of Alumni Relations & Parent Relations including phone coverage, expense report preparation, travel coordination, data gathering and reporting.
  • Provide administrative support to the student intern program including scheduling, time sheet approval, project tracking, and assisting with hiring/onboarding by coordinating with others in Advancement Office and the Student Employment Office.

Qualifications

Bachelor’s degree preferred and experience working with databases.
