Office Manager

DESCRIPTION:
Clifford Chance US LLP is seeking a full time Office Manager to be responsible for the overall coordination of activities of all administrative departments and functions for the Houston office. This position will report into the Director of Operations and the Houston Office Managing Partner.

RESPONSIBILITIES:
Office Management

  • Provide overall administrative management of the office, including conference services, office services, secretarial and reception support.
  • Assist Office Managing Partner on special projects related to strategic and business planning.
  • Oversee all building-related issues as needed, including security.
  • Liaise with Director of Operations on real estate matters.
  • Assist Regional Management as needed with management of other administrative functions (e.g., Business Development, IT).
  • Ensure that secretarial assignments and team coverage meet optimum efficiencies both on a cost and work product basis.

Human Resources

  • Work with regional teams in recruitment of lawyers and business professionals.
  • Conduct new hire orientation for lawyers and business professionals.
  • Conduct performance management conversations for business professionals.
  • Assist HR team in administering performance management for lawyers in conjunction with the Office Managing Partner and other partners as needed.
  • Ensure that firm policies and procedures are followed, and that the office is in compliance with federal and local employment laws, including those associated with the Firm's status as a Federal Contractor.
  • Assist Regional Benefits team in administering benefits programs.
  • Support Professional Development team in work allocation, training, and other Firm initiatives.
  • Work with HR team to handle employee relations issues, including coaching, counseling, and discipline.
  • Support Regional recruiting teams in planning and running summer law clerk program and fall recruitment.

Budgeting/Financial Review

  • Assist in developing an annual budget and quarterly re-forecasts for the office.
  • Conduct monthly reviews of budget and report variances.
  • Process and approve invoices.

REQUIREMENTS:

  • Bachelor's degree and/or related office management experience preferred.
  • 8-10 years of related experience (with managerial experience) in a law firm or professional services firm.
  • Excellent organizational and communication (written and verbal) skills.
  • Client-service oriented with a proactive and positive approach.
  • Must be able to work independently or as part of a team.
  • Must be comfortable working in a fast-paced and growing environment.
  • Ability to work under pressure and prioritize competing demands to meet deadlines.
  • Experience in dealing with multiple constituencies in a demanding professional environment.
  • Experience with annual departmental budgeting responsibilities.
  • Familiarity with general accounting procedures.
  • Strong proficiency in Microsoft Office.
  • Must be independently legally authorized to work in the United States.
Clifford Chance US LLP offers a comprehensive benefits and compensation package. The salary range for this role is $130,000 - $145,000. The actual salary will be commensurate with the candidate's qualifications and relevant experience.
