We are seeking a versatile and highly organized professional to join our team as an Office Manager/Events Manager/Executive Assistant. In this role, you will be responsible for overseeing event management and logistics for both Code and PDC while also providing executive support and managing office operations of our Salt Lake City headquarters. This position offers a unique opportunity to play a critical role in driving successful events and ensuring smooth day-to-day operations for two dynamic organizations.

What You'll Be Doing:

Corporate Office Manager (50%):

  • Provide high-level administrative support to the executives and management team, including calendar management, meeting coordination, travel arrangements, and expense reporting.
  • Prepare and distribute correspondence, memos, reports, and presentations on behalf of executives.
  • Act as a point of contact for internal and external stakeholders, managing communication and ensuring a professional and timely response.
  • Organize and coordinate meetings, conferences, and company events, handling logistics, agendas, and materials.
  • Conduct research and prepare briefs on various topics to assist executives in decision-making and planning.
  • Manage confidential and sensitive information with utmost discretion and professionalism.
  • Oversee general office operations, including office supplies, equipment maintenance, and vendor relationships.
  • Assist in the onboarding and training new employees, ensuring a smooth transition into the company.
  • Support HR-related activities, such as maintaining employee records, coordinating performance reviews, and managing employee benefits.
  • Proactively identify areas for process improvement and implement streamlined procedures to enhance efficiency.

Events Manager (50%):

  • Collaborate with cross-functional teams from both companies to understand event requirements, goals, and objectives.
  • Develop and execute comprehensive event strategies that align with both organizations' brand identities and business objectives.
  • Lead end-to-end event management, including ideation, planning, logistics, coordination, execution, and post-event evaluation.
  • Manage event budgets, ensuring cost-effective planning and execution while delivering high-quality experiences.
  • Coordinate with internal and external stakeholders, including vendors, suppliers, and event partners, to ensure seamless event operations.
  • Oversee venue selection, contract negotiation, and logistics, ensuring the smooth execution of all aspects of the event.
  • Develop and maintain relationships with key industry influencers, speakers, and thought leaders to enhance event content and attract high-profile participants.
  • Collaborate with the marketing teams of both companies to create compelling event collateral, promotional materials, and digital assets.
  • Stay updated with industry trends, emerging technologies, and best practices in event management, bringing innovative ideas to enhance event experiences.
  • Measure and evaluate the success of events through post-event analysis, feedback collection, and data-driven reporting, making recommendations for improvement.

What You'll Need to Succeed

  • Relevant applicable years of experience and/or Bachelor's degree in marketing, communications, event management, or a related field. Relevant certifications are a plus.
  • Strong project management skills, with the ability to manage multiple events simultaneously, prioritize tasks, and meet deadlines.
  • Excellent interpersonal and communication skills, with the ability to collaborate effectively with diverse teams and stakeholders.
  • Creative mindset with the ability to conceptualize innovative event ideas and experiences.
  • Strong negotiation and contract management skills related to vendor and venue selection.
  • Proficiency in common event management software and registration, logistics, and reporting tools.
  • Detail-oriented approach, ensuring high-quality execution and meticulous attention to event logistics.
  • Ability to work under pressure and adapt quickly to changing circumstances in a fast-paced environment.
  • Flexibility to travel very occasionally for on-site event coordination.
