Office Specialist

The Office Specialist position is an entry-level to mid-level individual contributor. The position will provide a broad range of support for the entire office, Chief Marketing Officer, and company engagement team. They will deliver a professional image of the company by providing prompt, courteous and efficient service to team members, guests, visitors, vendors, and telephone callers. This position makes recommendations for the development and improvement of the operations, carries out special assignments, identifies problem areas, predicts needs, determines solutions and implements changes. Decisions are routine and limited in scope. Problems can be solved by using established procedures.

Responsibilities


  • Effectively send communications to entire office, via Teams and email.
  • Compose emails, perform scans, file paperwork, and send faxes.
  • Perform all mail associated tasks, i.e.: certified, overnight, tracking/follow up and source best pricing.
  • Compile and track all admin expenses through the company’s expense report system.
  • Organize and coordinate scheduling of conference rooms.
  • Executes and documents monthly and annual events.
  • Maintain team member communication boards.
  • Coordinate and host office events
  • Work with engagement team on global and local initiatives
  • Participate in various committees with company

Requirements


  • 2+ years administrative and/or customer service work experience
  • General knowledge of office and front desk functions
  • General knowledge of outlook and outlook calendar – conference room scheduling
  • Working knowledge of IT functions within conference rooms
  • Skilled in all aspects of planning
  • Strong organizational skills
  • Active listener
  • Strong verbal and written communication skills

Compensation: $20/hr
