Transportation Operations Coordinator

About the Role:

As OpenAI continues to scale globally, our logistics operations become increasingly complex. We are seeking a Transportation Operations Coordinator to manage and support real-time transportation operations across multiple locations. This role is essential for ensuring the smooth and efficient daily operation of our transportation services, including shuttle systems, ride-hail services, and parking management. The Coordinator will serve as the key liaison between OpenAI, its landlords, transportation vendors, and internal stakeholders, ensuring that transportation services operate seamlessly.

This role is based in San Francisco, CA and will be in office 5 days a week. 

In this role, you will:

• Coordinate with parking site managers, shuttle managers, and drivers to ensure the seamless operation of transportation services.

• Monitor and triage issues related to transportation apps, access control systems, and employee concerns; providing timely resolutions.

• Conduct regular site inspections to ensure compliance with operational standards and identify areas for improvement.

• Act as the primary point of contact between OpenAI and its transportation vendors, including shuttle and ride-hail service providers.

• Coordinate with landlords and external partners to ensure that parking facilities and transportation services meet OpenAI’s standards and requirements.

• Work closely with Corporate Security, Events, and Communications teams to support logistics tasks during company events and special operations.

• Proactively identify operational inefficiencies and work with cross-functional teams to develop and implement solutions.

• Analyze transportation data to identify trends, issues, and opportunities for improvement.

• Provide feedback to vendors and internal teams to enhance service quality and efficiency.

• Respond to employee inquiries and complaints related to transportation services, ensuring a high level of customer satisfaction.

• Collaborate, develop, and implement communication strategies to keep employees informed about transportation options, changes, and best practices.

You might thrive in this role if you:

• You have a Bachelor’s degree in Business Administration, Logistics, Operations Management, or a related field (preferred).

• You bring 3+ years of experience in transportation, logistics, or operations management, ideally within a fast-paced, high-growth environment.

• You are experienced in working with transportation vendors and managing contracts, and any experience with regional governing bodies is a plus.

• You excel in organizational and problem-solving skills, with the ability to manage multiple tasks and priorities simultaneously.

• You possess excellent communication and interpersonal skills, enabling you to work effectively with diverse stakeholders.

• You are proficient in transportation management software and general office tools (e.g.,Google Suite) and can analyze data to generate actionable insights.

• You are flexible and adaptable, thriving in dynamic environments and handling unforeseen challenges with ease.

You demonstrate a high level of ownership and accountability, with a strong focus on delivering high-quality customer service.
