Operations and Marketing Assistant

Overview :
Effectively and proactively maintains support of the sales/service process which includes full inbound/outbound service provided to internal and external clients. Develops and maintains a positive working relationship with sales management, financial representatives and internal and external customers. Maintains advanced level of knowledge of application and new business process, and remains current on all changes, processes and procedures. Resolves inquiries via email, telephone or written correspondence from the financial representative. Gathers researches and analyzes policy information to provide accurate information to the financial representative. Meets established performance objectives and service levels by achieving production and service standards.
Responsibilities:
  • Proactively schedules client appointments and meetings and sends out meeting confirmations with clients, prospects and business partners.
  • Responds to inbound service-related calls providing best-in-class customer service to all customers.
  • Research and assist in resolving client inquirires and issues to resolution; displays initiative to problem solve and escalate when appropriate, has the ability to work independently.
  • Prepare and ensure new business paperwork processes successfully which includes preparing forms, obtaining appropriate signatures, preparing documentation to send to home office, tracking new applications, etc.
  • Manage Client Relationship Management (CRM) –Salesforce and Social Media (Hearsay).
  • Accurately and timely prepare correspondence, documents, reports, proposals and other administrative functions, including expense management and referral system reporting.
  • Work with Home Office Marketing counterparts to promote local brand awareness, communicate marketing/prospecting support iniatives and execute on current campaigns.
  • Support financial rep(s) in marketing of his/her business including but not limited to; materials, events and communications.
  • Assemble deliverables for client review meetings.
  • Prepare and analyze various sales and activity reports.
  • Perform other duties as assigned.
Qualifications:
Selection Criteria:
  • Proven ability to coordinate multiple projects simultaneously, and completing assigned tasks accurately and on a timely basis. Must provide examples from work experience of maintaining a high degree of accuracy associated with high volumes of work and/or multiple duties.
  • Demonstrated strong attention to detail with excellent organizational skills. Cite examples of organization and time management methods used to manage or prioritize workload demands.
  • Proven ability to seek resolutions to client issues, using solid judgment to recognize if a situation needs to be escalated to a Manager.
  • Demonstrated experience working and communicating cooperatively and effectively within a team environment. Proven examples of going beyond the call of duty to assist team members in work situations.
  • Demonstrated excellent verbal and written communication skills with ability to convey information to internal and external customers in a clear, focused and concise manner while following proper rules of punctuation, dictation and style. Ability to prepare correspondence, reports and forms using a prescribed format. Experience must include strong telephone communication and etiquette skills
  • Proven experience adapting and demonstrating flexibility associated with changes to policies/procedures. Must provide examples demonstrating flexibility to meet department and customer needs in work situations.
  • Demonstrated experience working in an environment with a high degree of stress/time demands associated with heavy volumes and multiple demands.
  • Proven work experience on identifying complex issues, quantifying the issue and providing creative resolutions to solve.
Work Setting:
  • Works in an office setting and remains in a continuous stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.
  • Performs substantial movement of wrists, hands and fingers for continuous computer work.
Educational Requirements:
  • High school diploma/GED.
Computer Skills and Knowledge of Hardware & Software Required:
  • Proficient in word processing, spreadsheet applications, presentation and contact mangement software.
  • Preferred experience with sales technology software.
Certifications & Licenses (i.e., Series 6 & 63, CPA, etc.):
  • State Life & Health-required
After Hire

  • Series 63 (If Required)
Position Demands:
  • Extended hours required during peak workloads or special projects.
