We are currently seeking a qualified Operations Coordinator to work on leading-edge technology products. Responsibilities
Procurement Coordination:
Assist the procurement team in sourcing suppliers, obtaining quotes, and negotiating terms and conditions.
Maintain a supplier database, including contact information, pricing details, and performance evaluations.
Generate purchase orders in a timely fashion, track delivery schedules, and ensure timely receipt of goods and services.
Collaborate with vendors to resolve any procurement-related issues or discrepancies.
Logistics Management:
Coordinate transportation and distribution activities, including order fulfillment and shipment tracking.
Liaise with logistics partners and carriers to ensure the smooth movement of goods.
Monitor delivery schedules, address any delays or issues, and provide timely updates to stakeholders.
Maintain accurate records of logistics activities and track performance metrics.
Return Material and Spare Management:
Maintain a system to track return material for repair and spare parts management.
Coordinate with internal teams and external vendors to facilitate the return, repair, or replacement of defective items.
Manage the spare parts inventory, ensuring availability and timely replenishment.
Analyze return material data to identify trends and propose strategies to minimize returns and improve product quality.
Inventory Control:
Monitor and manage inventory levels, ensuring optimal stock levels are maintained.
Conduct regular audits to reconcile physical inventory counts with system records.
Coordinate with cross-functional teams to forecast demand and plan procurement activities.
Implement inventory management best practices to minimize carrying costs and prevent stockouts or excess inventory.
Shipment Tracking:
Track shipments to and from the NYC office or clients, ensuring on-time delivery.
Communicate with carriers and logistics partners to obtain shipment updates and address any issues.
Maintain accurate records of shipment documentation, tracking numbers, and delivery confirmations.
Analyze shipment data to identify opportunities for improving transit times and reducing costs.
Data Analysis and Reporting:
Collect, consolidate, and analyze data related to procurement, logistics, return material, spare management, inventory, and shipment tracking.
Generate reports and provide insights to management and relevant stakeholders.
Identify areas for process improvement and cost optimization based on data analysis.
Present findings and recommendations in a clear and concise manner.
Provide the report on biweekly basis to the project managers on the Return and spares status.
Process Improvement:
Continuously evaluate and improve procurement, logistics, return material, spare management, inventory control, and shipment tracking processes.
Collaborate with cross-functional teams to implement process enhancements.
Stay updated with industry trends, regulations, and best practices related to procurement, logistics, and inventory management.
Basic Qualifications
Bachelor’s degree in business administration, Supply Chain Management, Logistics, or a related field.
Proven experience in procurement, logistics coordination, or inventory management roles.
Strong organizational and coordination skills.
Attention to detail and accuracy in record-keeping and data analysis.
Experience working with ERP systems, such as SAP, for procurement, logistics, and inventory management.
Proficiency in using relevant software applications, such as inventory management systems and Excel.
Excellent communication and interpersonal skills.
Ability to multitask and prioritize tasks effectively.
Familiarity with procurement and logistics regulations and industry best practices.
Knowledge of inventory control techniques and supply chain management principles.
Your experience with ERP systems, such as SAP, will be valuable in ensuring seamless coordination and optimization of procurement, logistics, and inventory management activities.
