Scope of Position: The Operations Coordinator will oversee all contractual performance numbers. As part of the leadership team, ensure that all contract benchmarks are met. The Operations Coordinator is responsible for the production and maintenance of complex reports, data capture and internal and external reporting
Responsibilities
· Liaise with funder, employer, and other partner stakeholders to identify and define project requirements, scope and objectives and ensuring that clients’ needs are met as projects evolves
· Collaborate with Director on the budget (if applicable), deliverables, and strategy of each project
· Schedule one-to-one meetings with leadership to ensure program goals are met or exceeded
· Provide timely and accurate reports to EDSI leaders and funders
· Review all required documentation for supportive services, ensuring compliance
· Work with Program Manager, leadership staff, and contractor’s staff to ensure that customer flow, internal processes, service delivery and data management are efficient and effective
· Manage a team of Workforce Development Specialists
· Implement large scale technology and process improvements and provide ongoing support for operations and technology
· Respond in a timely manner to requests from the contracting agency on issues related to performance tracking and compliance
· Accurately track and report all data associated with contract obligations to Director
· Provide regular status reports and other requested data for the Director
· Generate queries and work with various team members to strategize on needed outcomes
· Regularly analyze data in a timely manner
· Ensure data entered on the required system(s) is current and accurate.
· Enter data into the Commonwealth’s Workforce Development System (CWDS) and MyOneFlow, as required
· Audit customer data for accuracy and compliance in CWDS and MyOneFlow
· Create solutions to any processes that hinder meeting performance goals
· Participate in the development of quality improvement plans as necessary
· Ensure data entered on the required systems is current and accurate
· Manage ISO Compliance and Audits
· Assist the Program Manager in planning, organizing and coordinating functions relating to the operations and data management of TANF programs
Qualifications
· Two or more years of experience in collecting and analyzing data
· Proven experience in working in business operations or sales operations
· Strong problem-solving and analytical skills
· Good social and presentation skills
· Able to retrieve and present data a clear and effective visual graphic
· Excellent oral and written communication skills
· High self-initiative with the ability to work well under pressure
· Able to work effectively with minimal supervision
· Knowledge of handling general office equipment
· Proficient in technology especially Microsoft Office applications
· Ability to gather and synthesize information from a wide variety of people and sources
· At least three years of professional experience, including one year of management or supervisory experience
· Experience managing large-scale projects and driving change initiatives, including efforts requiring as-is process mapping and the design and rollout of new processes and standard operating procedures
· Able to work fully onsite, fully remote, or in a hybrid environment
· Proficiency in Microsoft Office with high proficiency in Microsoft Excel
Required Education
· Bachelor’s degree in business administration, management science, organizational behavior, operations, statistics or similar field required
