Operations Specialist

Under direct supervision, the Operations Specialist (OS) provides administrative support to ensure every client transaction request, received via phone, mail, or email, is properly documented within our current tasking system (Siebel), and manage the timely assignment of requests to the appropriate transactional queue. NOTE: NO EXPERIENCE IS NECESSARY. WE WILL TRAIN THE RIGHT PEOPLE TO SUCCEED.

The OS will review received request and/or documents to validate request is complete enough to provide to a transaction team for fulfillment. If additional information is needed, the OS will follow up with the Requestor to obtain the documentation. The OS will update internal systems with faxed copies of registrations and plate information. The OS will also send weekly reports of missing documents to complete monthly renewals via email on Monday.

This position is highly detail oriented and requires the ability to manage time efficiently. The ideal candidate must be detailed oriented, possess strong organizational skills, have the ability to effectively utilize MS Excel spreadsheets, and to ensure proactive communication between Operations and Customer Success. Multi system use and phone skills are required.

Essential Duties & Responsibilities:

  • Ensure inbound transactional tasks from clients received via phone, mail, or e-mail, are appropriately documented within tasking system (Siebel) and routed to the appropriate operational teams for fulfillment.
  • Update internal systems (TFMS) with updated location and/or vehicle information as provided by our clients.
  • Provide recurring reporting to clients for required documents.
  • Complete administrative tasks associated with ad hoc task folder creation, citation management, and title audit support.
  • Other duties as identified by management

Requirements:

Education:

High School Diploma or GED required. College Degree (BA or BS) preferred.

Experience:
Required - The ability to maintain and manage multiple computer systems simultaneously, professional phone skills, and excel experience.
Preferred - Experience with performing inventory duties and/or prior Transportation industry title experience is a plus

Other Knowledge, Skills, Abilities or Certifications:

  • Must possess a high degree of attention to detail, adaptability and the ability to multi-task
  • Passion and enthusiasm for delivering an extraordinary customer experience
  • Effectively communicate in a clear and concise manner
  • Intermediate proficiency in Microsoft Office (Word, Excel & Outlook)
  • Self-starter; proactive in solving problems, self-motivated to achieve individual and organizational goals
  • Adaptable/flexible; able to manage competing demands and changing priorities in a fast-paced environment, perform multiple tasks simultaneously, accept and handle regular interruptions, and manage/meet departmental performance goals


Physical Requirements:

This role is largely a sedentary in nature and involves sitting for long periods of time. The role requires the ability to hear and talk as well as to see data and adjust visual focus for computer and paper tasks, read, type, lift and/or carry equipment and files up to 20 pounds, walk, bend or stand as necessary.

Working Environment:

This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, calculators, filing cabinets and fax machines.
