The Role

Ceribell is currently seeking an Order Management Specialist. We are looking for a highly motivated individual who thrives in a fast-paced work environment. The Order Management Specialist, reporting to the Supervisor of Order Management, will be playing an important role at Ceribell to build the Order Management department by optimizing and enhancing the policies and procedures of "Quote to Cash" business flow, ensuring that all orders are processed accurately and efficiently. This role will be responsible for improving Ceribell customers' experience from ordering to receiving and will drive resolution of customer and product issues by working closely with the Manufacturing, Sales, and Finance departments.

What You'll Do

  • Knowledge for all aspects of day-to-day operations to support Quote to Cash workflow with hands on experience in using SFDC and NetSuite, tasks like generating quote, processing order/renewal deal, handling RMA, and etc.
  • Ensure customer records and sales order data are maintained with accuracy and integrity within Salesforce and NetSuite
  • Review, resolve, and track issues related to order forms, purchase order, sales related agreements following the company's terms and policies
  • Serve as a subject matter expert and point of contact for questions regarding deal bookings and account receivables
  • Experience working with IT, Deal Desk, Billing, Legal and other cross functional teams to resolve discrepancies and ensure timely booking and fulfillment with accuracy
  • Provide input for on-going development and improvement on systems and operational procedures.
  • Collaborate in system implementation or enhancement projects and assist with UAT as needed
  • Maintain an open line of communication with customers and the Sales team to provide updates on order status and other information
  • Support the Sales team in onboarding customers to ensure a flawless transition
  • Proactively communicate issues back to management and follow order management processes
  • Establish strong relationship with customer payables department and initiate outreach to collect past due invoices
  • Identify any booking and billing issue to ensure appropriate revenue recognition following GAAP rules
  • Support the accounting team during month end close and financial reporting processes, as needed

What You'll Need

  • Prefer bachelor's degree from an accredited college
  • Prefer experience with order entry in Salesforce and NetSuite
  • Prefer 3+ years of Hardware/SaaS experience in deal desk, order management, billing, accounts receivable, and renewal experience
  • Ability to build strong relationship with key stakeholders and customers
  • Demonstrate high energy with the ability to remain flexible and change priorities in a challenging and fast paced environment
  • Ability to work in a high-pressure environment with extended hours & weekends required during end of quarter
  • Able to anticipate change and react efficiently, comfortable with ambiguity
  • Extreme attention to detail
  • Able to handle multiple competing priorities and requests
  • Excellent computer skills with MS Office including MS Excel and Google Workspace Suite
  • Superior verbal and written communication skills
  • Must be a team player and Self Starter
  • Finance and Accounting background is a plus
