This a Full Remote job, the offer is available from: United States, Oregon (USA)Department Overview:The Midwifery Clinical Support Administrative Assistant is a hybrid remote position.This Administrative Assistant will support the midwifery faculty clinical practice and managers with scheduling, credentialing, onboarding, and payroll submission as well as general practice support needs. This support is needed for all current and future midwifery practice locations, including the Marquam Hill and Hillsboro Medical Center locations. This position will act as a liaison between the SON Human Resources department and support the Midwifery Practice Manager and Senior Associate Dean for Practice for SON clinical practice outreach.Function/Duties of Position:Clinical Operational Support• General support for the SON Midwifery Faculty Clinical Practices at all practice locations• Assist with the credentialing and onboarding processes for all newly hired midwifery faculty• Organization of all midwifery clinical faculty clinic and on-call schedules at all midwifery practice locations• Qgenda (or other scheduling software) scheduling program• Smart Web scheduling program• Maintain clinic/call statistic spreadsheets• Time Keeping and Payroll submission for all PTO, sick, per diem, and other leave hours for the Midwifery Faculty at all practice locations. Liaison with SON Timekeeping for complex timekeeping and payroll situations.• Serve as scheduler for online Webex meetings, interviews, and events for Midwifery Faculty practice, take meeting minutes, administrative support for Group Prenatal Care• Process all P-card transactions and reimbursements as directed by the manager/director.• Provide general administrative support to the Midwifery clinical practice.• Time Keeping and Payroll submission for all PTO, sick, per diem, and other leave hours for the Midwifery Faculty at all practice locations. Liaison with SON Timekeeping for complex timekeeping and payroll situations.• Serve as scheduler for online Webex meetings, interviews, and events for Midwifery Faculty practice, take meeting minutes, administrative support for Group Prenatal Care• Process all P-card transactions and reimbursements as directed by the manager/director.• Provide general administrative support to the Midwifery clinical practice.SON Support:• Liaison for Human Resources support for all clinical providers in the SON• Supports the Midwifery Practice Manager and Senior Associate Dean for Practice for SON Clinical Practice Outreach: including credentialing, intake/change/term documents, FPPE, OPPE.Required Qualifications:• Two years of general office or secretarial experience; OR• An Associate’s degree or certificate in office occupations or office technology and one year of general office or secretarial experience; OR• A Bachelor’s degree and one year of general office or secretarial experience; OR• An equivalent combination of training and experience.• Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience.Job Related Knowledge, Skills and Abilities (Competencies):• Previous work experience with clinical scheduling and payroll submission• Demonstrated professionalism and integrity• Demonstrated successful work experience with Microsoft Word, PowerPoint, Excel• Well-versed and developed technology skills• Ability to take initiative and ownership of responsibilities• Excellent forecasting, analytical, critical thinking and problem-solving skills• Excellent attention to detail; successful demonstration of experience working in detail-oriented capacity with proven record of accuracy• Excellent interpersonal skills, initiative and the ability to work with diverse groups; students, faculty, staff, community business partners.• Excellent organizational skills; ability to be self-directed and set own work priorities• Ability to multi-task in a fast-paced environment• Ability to be flexible regarding job assignments and support for other co-workers as needed• Successful demonstration of positive teamwork attitude• Ability to work effectively as a team member• Excellent written communication skills• Successful demonstration of effectively working with complex processes• Ability to remain calm and patient in the face of competing demandsPreferred Qualifications:• A Bachelor’s degree in Business Administration, Management, Public Administration or a field directly related to the position will substitute for two years of the required experience.• Scheduling experienceAdditional Details:The work schedule for the position conforms to normal business hours within the SON.All are welcome:Oregon Health & Science University values a diverse and culturally competent workforce.
