What You'll Be Doing in the role of Outreach Coordinator (formally known at Komen as the Participant Engagement Administrator):
The Participant Engagement Administrator is a member of the Data Science team within Komen’s Mission division, which facilitates the use of a variety of data to fuel scientific discoveries and improve breast cancer outcomes.
The Participant Engagement Administrator provides administrative support of programs to cultivate relationships within the breast cancer community to increase awareness and support of Komen’s Big Data for Breast Cancer (BD4BC) Initiative. The BD4BC Initiative is designed to (1) empower the public with information and tools to make the sharing of health care data understandable and easy to do, (2) address challenges of incorporating big data applications into breast cancer research and clinical care and (3) use big data to fuel scientific discoveries and accelerate the delivery of equitable, patient-focused care. A primary goal is to increase the participation of diverse populations in research studies associated with this Initiative.
What You Will Bring to the Table
Support the team in building and fostering relationships with diverse community-based organizations, community leaders, and others to enhance awareness and support of Komen’s BD4BC Initiative.
Facilitate the participation of a diverse population of breast cancer survivors, people living with metastatic breast cancer and the general public in big data research studies and programs.
Help with the development of content for resource materials (e.g., brochures, presentations, etc.), traditional and social media, and other assets, as needed, to promote BD4BC programs.
Serve as a point of contact for and respond efficiently and professionally to inquiries about Komen’s BD4BC programs.
Facilitate the engagement of advisors, grantees, and partners in Komen’s BD4BC programs. Prepare and distribute bios, rosters, resource materials and other assets to build and foster these relationships.
Support planning/coordination of focus groups to obtain patient/public perspectives that will inform the development and implementation of BD4BC programs.
Participate in internal and external events to recruit individuals to participate in Komen’s BD4BC programs.
Provide administrative support for Komen’s BD4BC Initiative to facilitate the participant engagement in big data research studies and programs.
Performs a broad range of administrative activities including scheduling, meeting planning and logistics (online and in-person), and communication across multiple program sites.
Develops detailed work plans, schedules, project estimates, resource plans, and budgets.
Prepare template documents, materials, reports, and other assets for assigned projects.
Maintain complete and accurate records using Salesforce or other contacts management systems and databases as appropriate.
Make travel arrangements and manage related documentation.
Track expenses and assist with identifying budget variances. Ensure accurate and timely vendor payments and expense reimbursements. Ensures consistency with department and organization policies and procedures.
Prepares progress and financial reports to support donor stewardship and other revenue generating activities.
Contribute to communications about Komen’s BD4BC Initiative to promote programs and support revenue generating activities.
Assist with collecting information and creating content about Komen’s BD4BC programs for press releases, blogs, social media, and other platforms, to keep stakeholders apprised of key accomplishments and activities.
Maintains website information for assigned programs and coordinates with appropriate Komen staff to update content.
Work collaboratively with other teams to deliver on specific programmatic needs, including program monitoring and evaluation, and coordinating ongoing internal/external communications.
Performs other duties as assigned and on time.
We Already Know You Will Also Have
Strong organizational and administrative skills; detail oriented. Proven ability to manage multiple projects simultaneously and to perform in a large, complex workflow with multiple deadlines, data points, and priorities.
Excellent interpersonal and communications (writing and speaking) skills. Ability to communicate effectively with individuals at different organizational levels and from all walks of life. Instinctive service and customer relationship skills.
Intermediate level of computer/technical skills, including proficiency with Microsoft Office Suite required. Proficiency with contact management (Salesforce) and collaboration tools (Asana) preferred.
Self-motivated and willing to take responsibility and ownership for timely and high-quality work. Ability to follow instructions and execute plans.
A team-oriented attitude, strong cross-functional collaboration skills, and proven ability to work in a matrixed, global organization with remote staff.
Shows positive approach to work, flexibility, innovation, cultural awareness, sensitivity to relationships, and confidentiality.
Work Experience: 2 – 5 years
Bachelor’s Degree: Health Education, Health Communication, Social Work, Social Science, Public Health, or related field
Preferred experience includes:
Experience supporting health research and/or scientific projects.
Experience working with diverse communities, particularly those underrepresented in research, including planning, and implementing meetings and targeted community engagement initiatives.
Experience in community relations and/or health education/communications with diverse stakeholders, such as external advisory boards, patients, community-based organizations, and alliances.
Experience in non-profit program management, including in planning and implementing targeted community engagement initiatives, preferably in a health or disease-focused organization
Proficiency in Spanish, a plus.
Travel requirements required outside of your home office will be up to 30% or more depending on our business needs.
