Administrative and Client Services Associate

As an Executive Assistant and Client Support Associate, you will be responsible for managing outbound call campaigns, coordinating with clients and subs, overseeing compliance tasks, and ensuring smooth administrative processes. This role requires proactive communication, organizational expertise, and the ability to multitask in a fast-paced environment. You will be working closely with the team, providing critical support to manage client inquiries, schedules, licenses, and project timelines.

Responsibilities:

  • Serve as the primary contact for client inquiries via SMS, email, and calls.
  • Assist with managing accounts, addressing issues, and ensuring satisfaction.
  • Set up meetings for new leads, follow up on payments, and manage billing coordination.
  • Support scheduling, resource management, and deliverables.
  • Manage licenses, insurance, and compliance tracking via Asana.
  • Oversee POs, change orders, and log expenses.
  • Guide new clients through the onboarding process, ensuring all documentation is completed.
  • Maintain accurate client databases in Buildertrend and Cloze CRM.
  • Prepare reports, presentations, and meeting materials for internal and client use.
  • Handle bookkeeping, bill organization, and other administrative tasks as needed.
  • Must be willing to work the graveyard shift.
  • Previous experience in an administrative or client services role.
  • Strong communication skills, both written and verbal, with the ability to engage effectively with clients and team members.
  • Proficiency in project management tools and techniques for effective task coordination.
  • Experience with CRM software, ideally with a focus on maintaining client relationships.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Proficient in MS Office Suite and other relevant software applications.
  • Ability to work collaboratively across teams and departments.
  • Self-motivated, proactive, and flexible to adapt to changing workloads and priorities.
