Overview 

The Payroll Specialist is responsible for accurately processing and managing the payroll for all team members within the organization. This role involves ensuring timely and precise payments, compliance with tax regulations, and maintaining accurate payroll records. The Payroll Specialist will collaborate closely with HR and finance teams to ensure a smooth payroll process.

Responsibilities

  • Process team member payroll according to best practices, company policy, and state and federal laws
  • Promptly and professionally respond to team member and supervisor payroll and timecard questions.
  • Serve as a primary resource for payroll-related team member updates, providing necessary forms and reviewing documentation for accuracy and completeness.
  • Update team member records within the HRIS, ensuring all changes align with supporting documentation.
  • Review team member timecards and address potential discrepancies with assigned supervisors.
  • Verify and respond to agency requests, including VOEs and team member garnishments.
  • Review and respond expediently to payroll tax notifications from state and federal entities, working with the payroll provider to address discrepancies.
  • Create and run reports from the HRIS, as requested by Human Resources
  • Assist with adding new team member data into HRIS and time clock, verifying that entries align with applicable forms and documentation.
  • Compile and review data for annual reporting and audits, including but not limited to 401k annual testing and audit, annual workers compensation audit, and ACA reporting.
  • Perform monthly reconciliations of team member benefit invoices, addressing discrepancies that may arise.
  • Monitor and audit team member payroll deductions and 401k deferral rates for accuracy.
  • Complete post-payroll administrative tasks, including deposit of 401k and HSA team member contributions, ensuring amounts reconcile with payroll totals.
  • Assist in maintaining payroll and benefit reconciliation work instructions, as needed.
  • Keep apprised of federal and state wage, hour, and benefit laws to ensure company compliance.
  • Assist the HR team with annual benefit open enrollment, including enrollment support and audit of team member elections.
  • Assist the HR team in maintaining team member records.
  • Reconcile and distribute team member W-2s and other required payroll notices.
  • Keep apprised of HRIS system updates, alerting the HR team of important changes, alerts, and useful tools.
  • Recommend and execute best practices for payroll and benefits administration, looking for ways to streamline processes and maintain compliance.
  • Respond to and track initial unemployment claim requests from State Agency.
  • Assist in other HR-related administrative tasks and projects, as assigned.

 

Qualifications 

  • Associate degree required but Bachelor degree preferred.
  • General accounting, accounts receivable, or payroll experience preferred.
  • Computer and keyboarding skills required.
  • Must be detail oriented.
  • Must be willing to work in an outdoor environment.
  • Must be able to perform all essential functions of the position with or without accommodations.
