Job Summary

We are looking for a dynamic, part-time administrative assistant to join our team supporting Real Estate Sales Professionals at our Lake Zurich office. This is a part-time position with expected hours on M/W/F 9am-5pm, with some flexibility. This position requires in-office work and is not a remote position.

Job Responsibilities:

  • Processing of New Listings and Sales Transactions
  • Social Media posting of new listings, sales, office & agent promotion, etc.
  • Submitting Orders for Home Warranties and other services as needed
  • Assisting broker associates with questions, procedures, marketing, etc.
  • Sending out title order communications to attorney partners
  • Sending out communications to new listing clients
  • Support Recruiting efforts: Sending out email and hard copy communications to prospective agents
  • Office reception and call routing
  • Assist with coordination of office events: internal, client and community related
  • Managing office and agent supplies as needed
  • Other duties as assigned

Key Skills/Traits Required:

  • Strong communication skills (verbal & written)
  • Ability to multi-task & prioritize
  • Social media utilization savvy (for posting & navigating on FB, Instagram, Twitter, Pinterest, TikTok, and LinkedIn)
  • Ability to perform accurate data entry
  • Team player but can work independently
  • Proactive, forward thinking and collaborative
  • Takes personal responsibility for producing quality outcomes
  • High levels of dependability and reliability
  • Ability to run with small, recurring monthly and quarterly initiatives
  • Serve as the office's “Good Will Works” Champion; spearheading office philanthropic and community service initiatives.
  • Serve as the office's community liaison and coordinator for Chamber of Commerce membership and events as well as other community events/sponsorships.

Education and/or Experience:

  • High school degree or equivalent
  • Real estate industry experience definitely preferred
  • Proficient computer skills including Microsoft Word, Excel, PowerPoint, Publisher and Google Suite (Google Drive, Calendar, Sheets, Docs, Meet, etc.)
  • Experience with Canva is extremely helpful or openness to learn this tool
  • Professional business appearance is necessary.
  • Ability to handle telephone consoles with accuracy and professionalism.
