Part-Time Administrative Assistant, Presidential Scholars

The Administrative Assistant for the Presidential Scholars Program is an integral member of the honors program management team performing cross-functional tasks to manage the functions and activities of assigned projects within the program. Responsible for database development and data entry. Manages a quality honors program by reviewing information for accuracy. Supports the work of the Executive Director to accomplish programatic goals. Work on program initiatives relating to community outreach, program planning, and student enrichment. Has in-depth knowledge of the processes/procedures associated with institutional function, program management and a strong information systems expertise in the latest technologies.

Responsibilities and Essential Functions:

Database Management

  • Organize and maintain program databases (current students, alumni listservs)
  • Organizing and maintaining student and office records; compiling, organizing, coordinating data for reports and projects.
  • Manage application materials (upload documents from Nolij into PDFs in order to distribute to the committee.
  • Prepare Excel spreadsheets and provide statistical data and reports for the honors admissions process.
  • Generating GPA and activity reports for students.
  • Program new modules and data capture into existing and new databases.
  • Frequent visual concentration in the abstraction, input, retrieval and management of data. Possible movement throughout the main campus and other sites in order to collect and/or manage information regarding program activities.

Event Planning

  • Reserve rooms for events at FIT (such as Wednesday evening colloquia)
  • Order food and supplies for events
  • Track shows, dates, manage ticket distribution for events outside of FIT.
  • Coordinate overall event activities and identify organizations for new enrichment opportunities to interact with the local and regional community.

Budget Management

  • Maintain budget and expenditures for three separate budgets; prepare and process payments and purchase orders; transfer funds as needed; compile reports.
  • Coordinate, tally and disseminate Honors Course evaluations and Scholars Program surveys.
  • Assist in the preparation and conduct for all events, colloquia, extracurricular activities, and meetings.

Job Requirements:


Minimum Qualifications:

Associate's degree or completion of two years in an accredited post-secondary institution of learning and three to five years of appropriate experience, or High School Diploma and 9 years of appropriate experience.

Preferred Qualifications:

Bachelor's degree or completion of four years in an accredited post-secondary institution of learning and 5 years of appropriate experience.

Knowledge, Skills and Abilities:

  • Ability to compose written correspondence and to present complex information in a clear and concise manner.
  • Ability to communicate, explain, interpret, share and present information to students, staff, and faculty at FIT as well as appropriate external contacts.
  • Ability to assess priorities among several tasks simultaneously and to function in diverse services/departments, sometimes on a daily basis.
  • Proficiency in the use of computers and software such as database management, spreadsheet, word processing, and graphics applications. A strong familiarity with Internet searching is preferred. Should be proficient in: Microsoft Word, desktop publishing, Excel, Google Drive, Adobe, digital marketing, collaboration platforms.
  • Ability to organize and maintain all program information for assigned activities and to ensure adherence to established policies and procedures. This position requires an incumbent to utilize specialized knowledge and job-related experience to handle complex assignments. Since the incumbent may work with a variety of internal and external services/departments, it requires a fully qualified individual capable of efficiently performing cross-functional tasks wherever needed.
  • Ability to take independent action, use initiative, learn new technical skills.
  • Experience interacting with a wide range of people from diverse backgrounds.
  • Ability to negotiate and problem solve.

Additional Information:


Review of applications will begin immediately until the position is filled. Successful completion of a background check is required for appointment to this position once an offer has been made.

The hourly rate for this position is 34.81 per Collective Bargaining Agreement (CBA), Salary Schedule 91.

Work Schedule

Days/Hours: M-TH, 10am-4pm, in person; work schedule subject to change based on needs of the department.
