Key Responsibilities:
As the Payroll Specialist, you will ensure pay checks are processed on time, accurately, and in compliance with government regulations for both salaried and hourly employees for US and/or expatriate employees. You will ensure compliance with all state and federal regulations related to timekeeping, tax payments, and any garnishments or levies for US employees. You will also support the International Assignees payroll as necessary with pay checks that may include allowances and deductions necessary for global expat employees across over 50 countries.
You will enter and maintain accurate data and run reports through interfaces with automated payroll, timekeeping and general ledger systems. You will assist the Payroll Manager and other team members in all levels of payroll/HR-related tasks to provide the best customer service to the employees and management.
This position is fast paced with high volume and requires extreme attention to detail, solution oriented and analytical thinking.
Major Responsibilities
  • Respond to employees with inquiries related to pay checks.
  • Respond to/support Employee Relations with complex issues.
  • Research and resolve issues with Workday/ADP, third party vendors, etc.
  • Research, audit, report, respond to various issues and challenges.
  • Enter and manage data from Workday and other sources for Payroll.
  • Autonomously process New Hires, Separations, etc.
  • Process tax levies, wage garnishments, and bankruptcy notices, including correspondence with outside agencies
  • Run the biweekly or monthly process(es) for one or more of the following payrolls: Domestic US, International US Taxpayers and/or International Non-US Taxpayers Payrolls.
  • Prepare federal and state payroll tax reports
  • GL: journal entries, accounting inquiries, reclassifications. Responsible for numerous monthly journal entries for one or more payrolls, including charge backs to various entities, countries, departments reclassifications etc.
  • Create and process Pension /403b Contribution to vendors, verification/reconciliation of settlements between Workday and ADP Smart Compliance. Reporting where required.
  • Develop and implement overall payroll procedures by documenting and evaluating current processes and suggesting methods to improve operations, efficiency and service.
  • Audits current payroll practices and procedures. Handles federal and state agency audits and maintains close contact with regulatory agencies. Works closely with internal and external auditors to ensure compliance with relevant tax laws and government regulations
Required Knowledge, Skills & Experience:
  • High School Diploma, college degree preferred. General Accounting courses and/or Payroll courses through the American Payroll Association.
  • 3-5 years of Payroll experience with knowledge of multi-state US full cycle payroll(s)
  • Strong communications skills along with customer service approach to payroll inquires.
  • Generally Accepted Payroll Practices
  • Intermediate Excel skills – VLOOKUP, Pivot Tables, Charts, IF, Date, Time functions and has used them in formulas
  • Working knowledge of domestic payroll laws
  • Experience with expat payroll processing highly preferred
  • Experience working with time and attendance data and systems
  • Experience with Workday Payroll highly preferred
Preferred Knowledge and Qualifications
  • Knowledge of payroll related California employment law, e.g., time off, leave of absence, vacation pay, etc
  • Knowledge of expatriate benefits and taxation.
  • Strong preference for experience with Workday Payroll and ADP Workforcenow
  • CPP preferred
Compensation: For positions filled in the United States, the typical salary range for this role is $61,526 to $76,908 USD. Ranges are based on various factors including the labor market, job type, job level, internal equity and budget. Exact salary offers will be determined by factors such as the candidate's skills, qualifications, experience and geographic location.
