Role Overview
As an Operations & Merchandise Coordinator, you’ll play a pivotal role in overseeing the international manufacturing process and production logistics, as well as contributing to product development and design. Your organizational skills will be crucial to ensuring smooth operations, from managing purchase orders to collaborating with creative teams on product launches. This is a dynamic opportunity to contribute to both operational efficiency and the innovation of new products.
Key Responsibilities:
- Operational Manufacturing
- Drafting & Initiating Purchase Orders: Place POs with appropriate manufacturing partners to ensure available retail inventory, track material inventory for future PO ordering.
- Documentation Maintenance: Maintain accurate PO records on supplier documents and complete monthly reconciliations of our records to promote high accuracy. Insert freight costs, packing lists, and other shipment related documents into operations software.
- ClickUp Project Management: Lead merchandising systems to ensure effective project management of both in-department and cross-functional priorities.
- Freight-In Management: Manage inbounds shipments from manufacturers, working with our 3PL and logistics providers to ensure accurate compliance, from supplier comms to warehouse receiving appointment.
- Production Problem-Solving & Coordination: Communicate regularly with upper management regarding problems or issues impacting production.
- PO Finalization & QA Documentation: Prepare QA visits and present QA reports to team ahead of approving release of production funds. Provide appropriate sorting information such as UPC & SKU-Numbers to supplier.
- Communication & Manufacturer Management
- Team Participation: Liaise with Department Leader to evaluate budgets and cash flow to find ways to plan inventory ahead of time based on specific SKU, participate in operations all-hand meeting.
- Rock Ownership: Take the reigns on key operational projects and be the sole person responsible for the completion of said area.
- Product Development, Creative, Sampling
- Product Development Meeting: Lead bi-weekly product meeting and execute pipeline of new product opportunities in new product development. Drive strategic product planning processes to ensure planning, allocation, and opportunities are understood and prioritized by all departments.
- Product Design & Sourcing: Execute roadmap of new product opportunities and work with our network to source manufacturers who can successfully produce target products.
- Product Sampling & Sample Revisions: Take product revisions in-hand, provide feedback documents to manufacturing partners to iterate product into the next round. Coordinate wear-testing with the team.
- Artist Communications: Serve as a core contact for our artist partners for skins and other product launches.
- Activation Marketing Elements: Help produce small runs of promotional items, banners, other on-site elements to set activations up for success.
Must-Have:
- At least 3-4 years of experience in e-commerce operations (merchandising, inventory management)
- Proven experience with e-commerce platforms such as Shopify, Magento, or WooCommerce.
- Strong communication and collaboration skills.
- Data-driven problem solver with proficiency in analytics and reporting tools (Excel, Google Sheets, Google Analytics, etc.)
- Familiarity with project management tools like ClickUp, Monday.com or Asana
- Familiarity with Google Analytics (Google Analytics)
- Proactive mindset; can take initiative to identify and solve problems.
- Strong time management and context-switching ability.
