People Operations Associate

Summary

The People Operations Associate serves as the first point of contact for the People Operations team. This is an entry-level position assisting the HR department with day-to-day activities. This will include People Operations support, recruiting, DEI activities, office management and employee relations.

Responsibilities

  • Draft offer letters, send welcome new hire emails. Follow up with new hires on missing paperwork and monitor background check progress.
  • Own the onboarding/offboarding admin process including preparing any needed documentation, completion of I-9 verifications, granting and removing access to HR systems, and assisting with background checks
  • Create agenda and take notes during weekly HR touchbase meetings
  • Assist with office management including re-ordering and re-stocking of items; this role will require you to be onsite 1-2 days per week
  • Manage and maintain employee information in Justworks, Greenhouse, Namely and Lattice.
  • Perform audit and compliance functions as requested (audit reports verification, commission reports, benefits, PTO).
  • Maintains human resources records for employees by recording the hiring, transfer, termination, change in job classifications, and merit increase dates.
  • Schedule meetings for candidates, hiring managers, employees, and department heads.
  • Monitor HR support inbox and route emails appropriately.
  • Assist with VP of People Operations' expenses
  • Assist with planning and execution of organizational meetings, events and execution
  • Assist with the recruiting life cycle including scheduling, candidate communications, and keeping internal stakeholders up to date
  • Assist with admin duties for Executive Team
  • Serve as a point of contact for HR team, fielding employee questions

Requirements

  • Bachelor's degree and 2-3 years of Human Resources experience.
  • This is a hybrid role, with 1-2 days required being in the New York office.
  • Great customer service skills.
  • Ability to communicate both verbally and in writing with all levels within the organization.
  • Ability to maintain confidentiality of information.
  • Must have knowledge of a variety of computer software applications including benefits, time & attendance and HRIS and self-service systems.
