Executive Assistant supports the Office of the Commissioner team with a focus on written correspondence, travel planning, expense allocation, calendar management, updating records, tracking follow-up items, ordering gifts and fulfilling tee time / ticket requests.Qualifications:• Bachelor’s degree in business, communications or related field. An equivalent amount of education and experience may be substituted.• * Minimum 3 years experience working with C-Suite Executive(s), CEO support preferred.• Proficient in Microsoft Office skills, including Outlook, TEAMS, One Drive/SharePoint, Word, PowerPoint, Excel.• Proficient in digital and technical literacy.• Must practice discretion, demonstrate trustworthiness, and respect confidentiality in all aspects of the job.• Excellent communication skills, verbal and written.• Deadline oriented with proven ability to multitask and adjust priorities quickly in a fast-paced environment.• Must be willing to work evenings, weekends, special events/meetings, and holidays as business needs require.Responsibilities:• Produce clear, concise, and professional written correspondence.• Plan travel and allocate expenses for team members.• Calendar support and scheduling in close coordination with executive support team and external constituents.• Create/edit/track documents in Office Suite and ensure records are appropriately archived.• Assist in distribution of time-sensitive communications to constituents in coordination with the Director and Chief of Staff.• Manage and update key constituents’ contact information.• Coordinate with the Aviation team and the Director on flight plans.• Work with Director and Chief of Staff to prioritize follow ups and ensure handled in designated timeframe.• Manage the distribution of incoming and outgoing mail, as well as archiving of important documents.• Distribute credentials/tournament tickets to key constituents, upon request.• Manage gifting for key constituents from the Office of the Commissioner.• Book tee times for key constituents, upon request.• Manage office supply orders for Office of the Commissioner.• Back up support to Director and other team members, as needed.• Back up support for Charity matching and distributions.• Special projects or other duties as assigned.
