The Air Products Pipeline team is seeking a Technical Assistant to support the expanding needs of our growing business and presence in the Gulf Coast region and throughout North America.

Reporting to the NA Pipeline Manager, the Pipeline Administrative Assistant will be based in La Porte, Texas. This position is primarily responsible for providing support to the Pipeline Department & Operations support staff in the LaPorte Pipeline & Operations support Bld. Support will include assisting with the preparation and submission of Safety data, Purchase/Work Orders, Compliance Reports, Audit/Inspection preparation and any other administrative activity deemed appropriate. These can include assistance with travel and meeting arrangements, expenses, and correspondence to regulatory agencies.

Responsibilities

  • Supporting the Pipeline & Operations support team
  • Assisting with the preparation of documents, correspondence, reports, and presentations
  • Professionally handling highly confidential and sensitive information including Company data/information
  • Handling high volumes of emails and filing
  • Coordinating payment of various departmental invoices
  • Providing SAP, MS TEAMs, Learn Ex and other system support to regulatory compliance and the operations team.
  • Planning and coordination of on-site and off-site meetings, schedules/calendars, conference calls, and management of travel arrangements
  • Managing all forms of information using project and company document management processes, including SharePoint and other network documentation systems
  • Creating and managing a well-organized personal filing system
  • Supporting the various office activities (ordering supplies, setting meetings, participating in meetings and producing minutes of meetings)
  • Coordinating and ensuring performance of building and equipment maintenance
  • Onboarding of core employees, contractors, and summer students
  • Troubleshooting technical problems to determine a solution.

Minimum Qualifications

  • High School Diploma or GED
  • Minimum 4 years Administrative Assistant or other relevant experience
  • Strong attention to detail
  • Advanced computer skills, including solid working knowledge of Microsoft Office products.
  • Well-developed organizational and multi-tasking skills and the ability to be flexible and work well under pressure in a fast-paced environment with changing priorities and circumstances.
  • Excellent mature judgment and capacity to work in environment where confidentiality is a necessity; ability to work collaboratively with others in a team setting.
  • Strong verbal and written communication skills with the ability to communicate effectively at all levels of the organization.
  • The capability to manage information and data on multiple levels, extensive knowledge of Microsoft Excel, Word, PowerPoint, and Outlook
  • Knowledge of and exposure to document management systems (SAP, SharePoint and MS TEAMs) would be an asset.
  • Previous experience in pipelines or other industrial or regulated industry
