POSITION SUMMARY:
This position has functional responsibilities that support all aspects of Community Engagement, but the majority of responsibilities fall into four categories: 1) constituency information management 2) logistical and administrative support for the fundraising program, 3) conceptualization, coordination and execution of digital engagement strategies aimed at developing donors and non-monetary supporters, 4) analysis of the impact of engagement efforts.
The position requires acumen in database technology, social media, digital communications and website maintenance and design. Well-developed interpersonal skills, attention to detail and the ability to effectively plan in advance and live by a calendar are also critical. This position will manage multiple tasks/deliverables simultaneously, but at times the nature of the work will require stretches of uninterrupted solo work to execute complex tasks. The position reports to the VP for Community Engagement for immediate supervision, but will collaborate regularly with other members of the CE team depending on the work at hand. Exercises diplomacy, discretion and maturity. Executes all work in ways that promote a positive image of Planned Parenthood and creates a positive work environment.
ESSENTIAL FUNCTIONS:
1. Works closely with the VP for CE to determine the design and architecture of the Organization’s constituency information database; is master user of the database, and is responsible for its administration and accurate maintenance.
a. Establishes and maintains individual records within the database for all donors, constantly updating records with new or changed or corrected information;
b. Generates reports which support the production of lists of all sorts, including but not limited to mailing lists, donor rosters, and lists derived from specific profile or activity parameters;
c. Continuously examines and improves all data fields;
d. Trains others on the use of the database, as needed.
2. Engineers and executes complex queries and reports that track, elucidate or predict constituent behaviors and which may as such be used to measure the impact of engagement activities or inform engagement strategies.
3. Ensures that gifts are received, recorded and processed daily. This position may sometimes supervise a volunteer in performing the clerical aspects of this task. In accomplishing this work, the position will:
a. Deliver gifts to accounting,
b. Update the fundraising database with the gift information,
c. Prepare the daily gift report for the VP for Community Engagement,
d. Produce and mail thank you letters in accordance with the gift acknowledgement protocol.
4. Designs and executes digital communication strategies that support various Community Engagement campaigns and goals. While this will often be done collaboratively and with input from other members of the team (especially in relation to content development for eblasts and the website), the nature of social media will often require the ability and judgement to act independently.
5. Prepares documents and provides work that supports direct mail and solicitations.
a. Segments constituents and merges lists to customize letters;
b. Produces letters in-house, collating and mailing such letters;
c. Works closely with the printer/mailhouse/vendor to execute direct mail projects accurately, efficiently and according to schedules;
d. Provides custom donor research reports upon request.
6. Works closely with accounting staff—delivering gifts daily for further processing in accounting, reconciling gift reports, performing audits, and providing reports and information that coordinate shared data.
7. Interacts with donors and supporters at all levels, often in person, and daily on the phone and through email. These interactions must be conducted in such a way as to deepen trust and engagement with the work of Planned Parenthood.
8. Provides logistical support for a variety of efforts and events including the production/dissemination of guest lists, seating rosters, nametags, and registration materials. Physical presence at events will often be required.
9. Utilizes volunteers to increase the people power that accomplishes the work of Community Engagement.
10. Performs other job related duties as assigned.
11. Keeps current and remains knowledgeable on database management and digital communications best practices.
12. Grows high-level of awareness of digital fundraising strategies in self and in team.
13. In consultation with VP for Community Engagement and Director of Public Affairs, develops, maintains and constantly improves metrics for tracking key fundraising and engagement initiatives.
14. Keeps current regarding the programs and services of Planned Parenthood South Texas.
15. Complies with the House Rules, which are a required part of the Organization’s orientation, training and performance standards.
QUALIFICATIONS:
Education:
Formal education is valued, but not required and lived experience is valued equally. Studies, certificates, degrees or course work in information systems and computer or database technology are welcome.
Experience:
Proven success and expertise in the areas of database systems and information management is required—such experience can be found in a wide range of industries and professions. Experience with direct mail and large scale e-communication is strongly preferred. Customer or client service experience is highly desirable, as is experience working with nonprofit organizations or in social movements and organizations that advance women’s equality. Three years of experience in work that is relatable to fundraising success is preferred.

· Ability to organize tasks into systems and use those systems to manage multiple projects simultaneously.
· Ability to make decisions that show sound judgment and are consistent with team goals.
· Ability to work well alone for extended periods of time.
· Ability to work as a team member.
· Sensitive and competent regarding issues of multiculturalism.
· Comfortable with issues of sexual and reproductive health; able and willing to work for an Organization that supports a patient's right to make personal decisions regarding health care including their right to choose what option is best for them if faced with an unintended pregnancy.
