Plant Administrative Assistant

Job Location: Hershey, PA


Summary:


Provides administrative support for the Plant Manager and the Plant Leadership Team in this Union plant producing products such as White & Dark Paste, Kisses, Nuggets, Milk Bars, Almond Bars, Rolo & Syrup, in a high-speed complex environment. Schedule Salaried Review meetings and Hourly Roundtable meetings. Point of contact and coordinating all aspects of plant tours. Maintains numerous distribution lists, assists with expense reports, and product donations.


Responsibilities:


  • Provides general administrative support to the Plant Manager and the Plant Leadership Team. Assists Plant Manager in summarizing weekly report for Vice President, Manufacturing. Develops an agenda for weekly staff meetings. Assists all plant staff managers with general admin support, including reporting.
  • Coordinate bimonthly hourly roundtable and quarterly salaried review meetings to include scheduling meetings/rooms and developing presentations.
  • Assist with salaried employee onboarding. Schedule one on one meetings and tours with Plant Staff to get new hires oriented with processes and people
  • Member of the T.R.A.I.T Advocacy Team and QTE coordinator for the plant. Coordinate activities/events for the West Hershey Plant to include CMN events, Spring Events, Visit with Santa, etc. Assist with plant recognition events to include Employee Appreciation Celebration, etc.
  • Plant contact and coordinator for all plant tours. This includes sharing Visitor’s Compliance form and West Hershey Plant Tour Guidelines with guests, scheduling a room, tour guides, gift bags, smocks/PPE, preparing/programming headsets, etc.
  • Responsibility for maintaining the plant wide communication and posting process. Serve as the main point of contact for Corporate Comms on Good to Give Back, QTE events.
  • Designs, writes, and publishes the plant newsletter.
  • Maintain numerous distribution lists and SharePoint sites for Plant and Plant Staff
  • Responsible for the mobile phone program at the West Hershey Plant.
  • Responsible for managing the keys for the West Hershey Facility.
  • Manages the fleet cars for the West Hershey Facility.

Minimum knowledge, skills and abilities required to successfully perform major

duties/responsibilities:


  • Ability to prioritize activity and manage time effectively.
  • Ability to coordinate and plan events.
  • Organized with ability to keep others on task
  • Personal initiative
  • Attention to detail
  • Excellent communication skills, both written and oral
  • Proficient in developing Excel spreadsheets, SAP, and PowerPoint presentations.

Minimum Education and Experience Requirements:


  • HS Diploma required
  • Associates degree, higher education, or specialized administrative training preferred
  • Minimum 2 years administrative experience in a professional environment supporting a Leadership Team / Senior level Management required
  • Experience supporting a team of leaders; ability to prioritize in a fast pace, constantly changing environment
  • Proficiency with the MS Office Suite required (Outlook, Excel, PowerPoint)
  • Works with confidential data and issues which could result in detrimental effects if disclosed therefore the Administrative Assistant must be able to make confidentiality decisions, both of a limited and of a broader nature, on own initiative.
  • Experience with SAP is a plus
  • Experience working in/with Manufacturing / Supply Chain is a plus
