Overview / Responsibilities:
Wood is currently recruiting for an Administrative Assistant to support Wood's office in Clute, TX. This is a fast paced and demanding role that requires excellent organizational, communication and people skills. Candidates must possess a proven ability to meet deadlines. Successful candidate(s) will have experience supporting administrative office functions/activities.
Authorization to work lawfully in the US without sponsorship from Wood is required

Answers incoming phone calls and addresses emails

Greets visitors and assists with badging, camera passes and access

Interfaces with clients and vendors and ensures outcomes are appropriately communicated

Coordinates and schedules meetings and special events

Organizes and maintains files and records
-
Prepares, formats and distributes documents such as meeting minutes, complex reports, presentations and studies
-
May need to Facilitate travel

Format documents as required
-
May maintain a SharePoint / MS Teams site

May process requisitions
-
May enter/approve time and/or expenses
-
Submit and reconcile expense reports

Maintain contact lists
-
Produce and distribute correspondence memos, letters, faxes and forms

Assist in the preparation of regularly scheduled reports

Develop and maintain a filing system

Order office supplies
Skills / Qualifications:
- Demonstrates a professional manner in appearance
-
Must possess the ability to read, write and comprehend written and spoken English

High Level knowledge of MS Office, Adobe, Microsoft Teams, SharePoint, Visio and other software programs as required

4 years minimum experience in this type of capacity

Ability to operate office equipment including computer, keyboard, mouse, copier and phone

High Level PC skills with ability to enter data and verify accuracy

High Level knowledge in developing and maintaining complex spreadsheets, reports, presentations and studies

High Level knowledge of document formatting; ability to maintain and modify formats of spreadsheets and other documents in order to complete tasks

Ability to learn other applications and use databases as required

Understanding of project functions, terminology, policies and procedures

Effective oral and written communication skills with professional vocabulary, professional grammar and the ability to independently compose routine written communications

Excellent organization and time management skills and abilities to meet deadlines

Detail oriented with a strong ability to multi-task

Ability to resolve problems and questions independently

Ability to maintain confidential / sensitive files and records
