As a member of our team, you will also have access a progressive benefits program that reflects our commitment to caring for our 16,000 partners.Position: Scheduler - Full-TimeJOB PURPOSE:Reporting to the Business Office Manager (BOM), the Scheduler ensures that upon referral and acceptance of a patient to the Agency, all treatments, services, etc. are scheduled in a timely manner. The Scheduler tracks and responds to any visit alterations that may occur. This position works closely with Care Management and other peers as needed for an accurate accounting of visits ordered and provided. The Scheduler schedules visits in a way that ensures productivity requirements are met.KEY RESPONSIBILITIES:Provide an accurate, timely, and well communicated schedule for all patients upon referral through admission and discharge from the agency.Participate in agency back office daily operations as assigned by the BOM.Demonstrate flexibility and use of critical thinking skills in addressing frequent changes throughout the day requiring schedule adjustments.Ensure that field scheduling assignments follow agency standard operating procedures (SOPs). Schedule patients in a that provides and maintains visit productivity for various levels of partners in the agency.Update the daily Home Health RADAR staffing availability report.MINIMUM EDUCATION REQUIRED:High school diploma or equivalentMINIMUM EXPERIENCE REQUIRED:None; on the job training providedADDITIONAL QUALIFICATIONS: (Preferred qualifications)Three years total of medical office experience.One year of scheduling.One year of Home Health Agency Operations experience.Experience with HomeCare HomeBase (HCHB).In lieu of relevant work experience, applicable college coursework or vocational/technical training may be substituted.KNOWLEDGE, SKILLS, ABILITIES:Computer skills a must.While maintaining a pleasant and professional manner, multi-task and problem solve in an environment with frequently changing priorities and short deadlines.Organizational, oral and written communication skills.Excellent interpersonal skills. Interact effectively with field clinicians, sales/marketing personnel, central intake, initial and ongoing authorization staff, transition nurses, patients and other internal and external customers to meet patient scheduling needs.Flexible; willingness to work beyond normal working hours on weekends and holidays as necessary to meet organizational needs.Knowledge of confidentiality and PHI best practices, sharing information on a “need to know" basis only.Effectively perform HCHB workflow tasks in a timely manner related to all scheduling processes, including but not limited to documenting coordination notes, etc.Create, maintain and update patient schedules according to authorizations and patient needs. Maintain clinician availability lists,Manage a group of clinicians' schedules. Respond to questions; proactively provide information regarding patients, care plans, and productivity needs.Effectively resolve incoming calls to the best disposition possible.Resolve any unverified or missing visits as needed to ensure billing is processed in a timely manner.Partner with clinical agency resources to oversee patient intake and inquiries, and assess patient needs for scheduling,Assist peers in daily administrative operations processing as assigned by the BOM,Participate as directed in agency survey for accreditation or licensure and any subsequent required reports,Attend and participate in continuing education programs to keep abreast of changes in the field. Attend mandatory in-services and meetings as assigned.Follow established safety regulations, including fire protection and prevention, smoking regulations, infection control, etc.Follow established safety procedures when performing tasks and/or working with equipment.Subject to call-in in a disaster or other emergency situation as directed by agency operations.Family Makes Us Stronger.
