About this Opportunity
Pruis Hall at Ball State University welcomes applications for a Part-time Office Assistant. The successful individual enjoys interacting with people and thrives working in a dynamic environment ensuring events are effectively scheduled and providing exceptional customer service. The PT Office Assistant works collaboratively in an office setting along with providing staffing support for box office activity. This position will be working 20-30 hours per week, typically half days with some early evenings for events.

Position Function
Provide administrative support for activities and events held in Pruis Hall and Brown Amphitheater. Ensure courteous and efficient service of patrons during ticket transactions, subscriptions, and group sales, performances, or general inquiries via telephone or in person at Emens Auditorium and Pruis Hall. This position will be 20-29 hours per week. The ability to have some flexibility in work hours to accommodate evening or weekend events is necessary.

Minimum Education
High school education or GED with general office skills.

Minimum Experience
Over three months of clerical/office experience.

Minimum Other
Familiarity with word processing software; demonstrated ability in receiving calls or working in a public setting.

Authorization to work in the US
Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship.

Preferred Education

Preferred Experience
Over one through three years of experience as a teller or cashier in a retail environment.

Duties & Responsibilities

Job Duty
Schedule and coordinate classes, rehearsals, student organization and departmental functions, conference activity and other external events for Pruis Hall. This includes communication with faculty, students, the offices of Space Utilization, Conference Services, Orientation, Student Center Reservations, and other event sponsors to discuss and arrange building and technical support needs. Assist Management in scheduling activity at the Brown Amphitheater.

Communicate and review with management and Pruis Hall graduate assistant pertinent details regarding pre-event planning, student performance and post-event evaluations. Provide clerical support for the office including preparing correspondence, generating building/activity schedules, etc.

Generate invoices, journal vouchers, cash receipt vouchers as required: Calculate billing charges for event related direct costs including rental fees and labor reimbursement.

Work in the Emens or Pruis Hall ticket office on the evening of performances as assigned; distribute hearing-impaired headsets, distribute will-call tickets, and attend to information inquiries.

Assist full-time staff in monitoring and maintaining records of ticket sales for the Artist Series, Orchestra Indiana, promoter events and special performances; assist in processing orders for season tickets. Assist in updating database records, including mailing lists, schedules, etc.
