Your Role
The Boston office is looking for a Receptionist. This person will be the first point of contact for our clients, vendors, and staff. The receptionist represents Gensler values and professionalism and demonstrates our high level of client service. The ideal candidate is passionate about communication and service and thrives in an energetic team environment.
What You Will Do
Meet and greet staff, clients and visitors Handle incoming calls (screen calls, forward calls, take/distribute messages)
Maintain conference room schedule
Maintain readiness and tidiness of conference rooms in reception area
Manage visitor coordination (enter visitors into building log, provide directions when necessary)
Keep reception area and reception pantry tidy (remove materials, wipe up spills, spot clean where necessary).
Assists other administrative staff with overflow work when necessary
Prepare weekly briefing and distribute to office
Manage other responsibilities as necessary
Your Qualifications
2+ years of professional experience in a receptionist role for a busy office preferred
Excellent written and verbal communication skills
Ability to multitask is essential
Self-motivator with strong organizational and intra-personal skills
Experience working directly with senior staff
Strong organizational skills to coordinate and manage multiple deadlines
Ability to work with diverse teams in a fast-paced work environment
Proficient in Microsoft Outlook, Word, Excel, Adobe Suite (InDesign), Bluebeam preferred
Marketing/Communications background a plus
