Receptionist/Office Assistant - job 1 of 3

Applied Research Associates (ARA), Inc. is seeking a Receptionist/Office Assistant for a part-time position to perform a variety of activities to support clerical and administrative functions for the Engineering Science Division in Panama City, FL.

Essential functions:

  • Answer the main phone line, transfer calls to staff, and provide assistance when needed.
  • Greet and assist visitors and ensure they sign in as appropriate.
  • Maintain Microsoft Outlook schedules for the conference rooms, arrange meetings/events, and maintain common areas.
  • Assist office staff with shipments, create shipping labels for outgoing packages and arrange for pickup.
  • Receive incoming mail and packages and distribute to staff.
  • Assist Accounts Payable with coding purchase orders as received through the tracking system.
  • Use copy machine to scan documents to email for various related tasks.
  • Maintain inventory of office and cleaning supplies, and reorder supplies as needed.

Experience and skills required:

  • Proficient skills with Microsoft Outlook, Excel, Word, and PowerPoint.
  • Experience working in SharePoint is helpful.
  • High School diploma or equivalent.
  • 2 to 4 years of related clerical and office experience.
