Position Purpose
The Registrar oversees, advises on, and maintains all activities of the Thayer School of Engineering’s academic calendar and students’ academic records, ensuring the highest quality and responsive service to students and faculty. They are responsible for student enrollments, degrees awarded, and academic eligibility for various internal and external audiences. They provide critical leadership and guidance to faculty and students in the areas of academic policy, enrollment, and course information. The Registrar also regularly communicates and collaborates with colleagues across Dartmouth and optimizes available technologies to automate and ensure efficient processes and accurate information.

Required Qualifications - Skills, Knowledge and Abilities
  • A bachelor’s degree is required.
  • At least five years of relevant experience is required.
  • Proficiency in utilizing and optimizing information systems is required.
  • Experience in working with a large-scale integrated student administrative system, preferably Ellucian Banner.
  • In addition, the successful candidate will have the following professional qualifications and personal characteristics:
    • Highly developed organizational and communication skills.
    • Excellent judgment and critical thinking skills and the ability to manage complex and/or confidential issues involving diverse constituents and stakeholders.
    • Ability to inspire trust and work collegially with staff, faculty members, school and campus officers, administrators, and students.
    • Demonstrated adaptability to meet changing demands, including the ability to be flexible and available to leadership, faculty and staff on an as-needed basis.
    • Proven accuracy and attention to detail in managing multiple initiatives and priorities, along with experience in simultaneously implementing projects and events across multiple timeframes.
    • Expert computer skills with proficiency in Google Docs/Sheets, Microsoft Excel and data manipulation.
    • Strong project management and planning skills, including the ability to handle multiple projects simultaneously in a complex environment.
    • Understanding of and familiarity with current trends and regulations in the registrar field and experience in the effective use of academic records management technologies.
    • Excellent writing ability and strong interpersonal skills.


Preferred Qualifications
  • Master’s degree is preferred.

Key Accountabilities

Description
Academic Administration
  • Directs and implements the registration process for all Thayer Bachelor of Engineering and graduate students.
  • Supervises the Thayer Assistant Registrar.
  • Works closely with the UG Program Manager to ensure BE requirements and recordkeeping are consistent and coordinated with Thayer graduate processes and policies.
  • Advises the faculty and the Dean on proper application of relevant policy and procedure; informs of and explains the application of precedent relevant to specific issues. Assists with development of new policies as needed.
  • Partners with the Associate Dean and faculty to establish course schedules and teaching assignments that meet faculty and student needs.
  • Compiles and disseminates the academic calendar and term schedules.
  • Manages student information, including: collection of grades, academic standing, verification, and release; tracks incomplete grades and follows up as necessary.
  • Assembles and prepares information needed by faculty prior to voting on student eligibility for graduation and student admission to PhD candidacy.
  • Collects and inputs course objectives for each course, each term as part of the Accreditation Board of Engineering and Technology (ABET) requirements.
  • Maintains database of Thayer course objectives, course descriptions, availability, and degree requirements. Ensures accurate information is available to internal and external audiences in publications including Thayer Guide to Programs and courses, Thayer website, and the Dartmouth ORC (Organization, Registration and Courses).
  • Oversees the administration of course evaluations and disseminates results to the Dean and Academic Directors.
  • Coordinates textbook ordering and posts in Banner in compliance with the Higher Education Opportunities Act’s Textbook Information Provision.
  • Reserves all Thayer and ECSC classrooms and oversees the room reservation process administered by the Assistant Registrar and Computer Science Admin.
  • Coordinates with others at Thayer to organize the annual Thayer School Investiture Ceremony focusing on graduate verification and student communications
  • Represents the Thayer School on the Dartmouth College Commencement Committee.

Project Management
  • Leads interdisciplinary working groups/project teams in effort to create more efficient and effective processes related to student academic records and course planning.
  • Represents Thayer on campus project working groups, including information technology projects.
  • Provides insight on opportunities for system improvements and input to system projects; participates in testing of system changes.

Student Advising
  • Responds to student inquiries in a timely manner.
  • Monitors student progress against curriculum requirements, notifies students of deviation/non-compliance and potential consequences, and advises on rectifying action needed.
  • Reviews program plans for students completing in a given term and provides notice of deficiencies to students.
  • Communicates schedules and school policies to non-Thayer students who are taking or auditing Thayer courses.

  • Gains knowledge of and shares insights into pertinent trends and innovations through participation in peer networks and associations, and attending and representing Thayer at conferences and seminars.
