Rehabilitation Support Assistant

Overview:
Maintain reception area at ALMH Rehab. Perform all scanning and chart organization tasks. Answer phone to accept MD orders and take communication from various sources. Organize and compile data for use by department and Finance. Support the rehab services department by greeting, registering, and scheduling new and existing patient.
Qualifications:
Education:
High school diploma or equivalent required. Associate’s degree strongly preferred.

Experience:
Scheduling and/or administrative support experience strongly preferred.

Other Knowledge/Skills/Abilities:
  • Extensive experience with, and knowledge of, Microsoft Office Suite and Windows computer systems.
  • Excellent organizational skills and ability to multi-task in stressful situations.
  • Must be flexible and have good interpersonal skills.
  • Basic analytical skills for scheduling procedures and tasks.
  • Excellent customer service and telephone skills.

Responsibilities:
  • Maintains efficient scheduling within Spectrasoft Appointments Pro scheduling software for PT, OT, ST and dietitians.
  • Schedules initial evaluations and follow up appointments.
  • Obtains appropriate information for verification of physician credentials.
  • Performs intake functions regarding new patients, i.e. obtaining consent for treatment, copying insurance card, verifying initial paperwork.
  • Process daily totals and balance Appts pro and CPSI.
  • Call next day new evaluation patients and confirm pending appointment through management of Reminder Pro software.
  • Obtains insurance authorizations, verifications and pre-certifications for ALMH Rehab, Cardiology and Respiratory Services as needed.
  • Post charges that do not automatically post in e-forms.
  • Accurately tracks requested clinical data for ongoing monitoring and performance improvement initiatives.
  • Processes data on month start/month end basis for use within the department and transmits data to Finance dept.
  • Answers the telephone in a professional and courteous manner and takes thorough messages.
  • Timely faxes all plan of cares, orders and communicates to MD or other provider upon request/instruction.
  • Establishes, prepares, closes and files outpatient medical record charts within the department.
  • Assists Manager of Rehabilitative Services with staffing, scheduling issues.
  • Communicate with billing and coding personnnel and supply information requested.
  • Orders office and dietary supplies for department.
  • Process incoming and outgoing mail daily.
  • Maintains a filing system of correspondence and other documents.
  • Greets patients and visitors, answers patient’s questions (via telephone and in person), and gives directional information.
  • May be required to assist in pool rescue in a support role.
  • May teach aqua wellness classes if qualified to do so.
  • Performs other related work as required or requested.
