Job Summary

This Coordinator position will complete day-to-day operational aspects of relocation, short-term travel and office services support with minimal supervision, performing a variety of administrative and related tasks. Position requires a thorough knowledge of office routine and procedures, along with the utmost initiative and responsibility to make independent decisions within guidelines regarding planning, organizing, and scheduling of tasks. This position will be the point person to coordinate travel, manage billing programs of office services, and have the ability to improve processes as you gain experience.

Your Key Job Functions

Specific skills and tasks include:

  • Demonstrate excellent verbal and written communication skills with:

o Cross functional teams who submit requests on behalf of RSC and field team members.

o RSC and Field Team Members to initiate, manage and complete relocation and short-term travel activities.

o Third-party partners to assist with relocation tasks such as Uhaul and moving companies.

o Leadership to produce reporting/tracking.

  • Maintain and submit all required documentation and expense coding.

  • Carry out relocation policies depending on Team Member level.

  • Track hotel payment confirmations and edit payments as needed.

  • Manage day-to-day office services management which includes relationship building with third-party suppliers and escalation of issues to leadership.

  • Utilize travel software to book flights, hotels and rental cars.

  • Utilize internal systems to enter in taxable benefits to team members.

  • Update and maintain tracking for work performed to keep track of trends and to assist with budgeting.

  • Serve within the team as support for Travel managers and other peers in urgent situations or as coverage when unavailable or out of office.

What You Bring to the Team

  • Administrative or Relocation experience.

  • Proficient in Office 365 (Excel, Word, PowerPoint) and Smartsheet.

  • Strong intrapersonal and interpersonal skills; ability to work under short timelines, able to handle and coordinate multiple projects simultaneously while meeting deadlines.

  • Self-starter with strong organization skills and the ability to multi-task and prioritize workload.

  • Team-oriented, ability to build relationships effectively.

  • Proactively search out opportunities for process improvements.

  • Excellent communication skills - written and verbal.

  • Ability to protect confidential information.

  • Approachable with the ability to effectively listen and communicate with peers and business associates both verbally and in writing.
