About the role
As an Executive Assistant to the CTO, you'll be a strategic partner, working directly with the CTO to manage their time, optimize processes, and ensure the smooth operation of our growing Technology organization. You'll play a vital role in managing day-to-day administrative and operational needs and driving our mission forward by enabling the CTO to focus on strategic initiatives and technical leadership.
What you’ll be doing
• You will provide comprehensive administrative support, including creating, maintaining, and editing documents, spreadsheets, files, presentations, and anything else in that vein.
• You will be a strategic sounding board for the CTO, turning conversations into organized notes and structured action plans, while asking key questions and driving engaging dialogue to help gut check and shape the CTO’s thoughts and ideas.
• You will track action items and deliverables for the CTO, proactively scheduling the time and resources needed to address them.
• You will monitor deadlines and follow up on action items to ensure timely task completion and effective decision-making.
• You will schedule, prepare, and attend internal meetings, including preparing agendas, follow-up action items, and meeting notes.
• You will facilitate internal communication within the Technology organization.
• You will assist with budgeting, forecasting, and ad-hoc reporting requests.
• You will act as a delegate for the CTO, signing off on expenses, approvals, and various tools as needed.
• You will organize in-person off-sites, team meetings, and events.
• You will prepare agendas, reports, meeting materials, minutes, notes, and follow-up action items.
• You will create, maintain, and edit documents, spreadsheets, presentations, and other materials.
• You will serve as a trusted and strategic thought partner to the CTO, providing insights and recommendations on improvements, long-term planning, and time management.
• You will lead planning for company tech meetings, demos, and company-wide status updates, coordinating content and slides.
• You will provide organizational support for correspondence, reporting, and coordination of recurring status updates and meetings.
• You will proactively manage the CTO’s calendar, prioritizing appointments and coordinating internal and external meetings.
• You will track and ensure updates to the CTO are made in areas that require visibility.
• You will perform additional tasks and ad-hoc projects as required by the CTO.
What we’re looking for
• 4+ years in an administrative or executive assistant role, ideally supporting executives in fast-paced startups.
• 2+ years of experience being an administrative or executive assistant to either the CTO, CIO, CISO, or engineering / technology leadership.
• Someone who is available to co-work in-person on occasion in Jersey City is highly preferred, but not required. We are a remote company.
• Exceptional organizational and time management skills to juggle multiple priorities and deadlines.
• Outstanding communication skills (written and verbal) to interact effectively with diverse stakeholders.
• Proactive and anticipatory mindset to stay ahead of the CTO's needs.
• Strong technical aptitude and familiarity with supporting technical teams.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Trustworthy, reliable, and adaptable to thrive in a dynamic and evolving environment.
• Expert at prioritizing tasks and anticipating needs.
• Detail-oriented and highly organized to ensure accuracy and efficiency.
• Collaborative and service-oriented approach to working with others.
• Availability outside of regular working hours on occasion for urgent needs.
