Policies and Procedures Coordinator

The Office of General Counsel provides a variety of legal support services to the Southern Alberta Institute of Technology (SAIT), including managing the development of and revision to SAIT’s policies and procedures and maintaining document integrity of SAIT’s policies and procedures.


Reporting to the General Counsel, the Policies and Procedures Coordinator plays a key role in this work, including writing/editing/revising policies and procedures in collaboration with SAIT stakeholders, researching and benchmarking SAIT’s procedures against those of other post-secondary institutions, maintaining document integrity and version control, and providing support to SAIT stakeholders tasked with policy and procedure work.


The Role
  • Writing/Editing Policies and Procedures, in Collaboration with SAIT Stakeholders - 45%
  • Drafting new policy and procedure content
  • Revising and updating existing policy and procedure content
  • Editing draft policy and procedure content created by SAIT stakeholders
  • Benchmarking SAIT’s policies and procedures against those of other post-secondary institutions and identifying best practices and gaps
  • Coordinating the movement of policies and procedures through SAIT’s internal governance processes

  • Maintaining Document Integrity of Institutional Policies and Procedures - 30%
  • Ensuring approved policies/procedures and related documents are posted on SAIT’s external website (sait.ca) and on SAIT’s intranet (Saitnow), and maintaining the currency of SAIT’s policy and procedure webpages
  • Ensuring SAIT’s policies and procedures meet SAIT’s formatting and stylistic standards
  • Maintaining SAIT’s official policy and procedure library, including archiving/deleting policies and procedures in compliance with SAIT’s records retention requirements

  • Providing Support to the SAIT Community on Policy/Procedure Work - 25%
  • Providing support as needed for committees, working groups and individuals tasked with policy/procedure work. This may include record-keeping and minute-taking, as required.
  • Responding to policy and procedure questions from the SAIT community.
  • Providing information and guidance to the SAIT community on policy/procedure development and revision, and on SAIT’s internal governance processes for approving new/revised policies and procedures


Qualifications
  • Minimum
  • Diploma or degree in English, Communications, Technical Communications, Administrative Information Management, or equivalent combination of education and experience
  • Three years’ experience writing/editing/proofreading/formatting technical documents, including managing document version control

  • Preferred
  • Experience writing/editing/proofreading/formatting formal policies, procedures and/or processes, preferably in a post-secondary environment or large organization environment

  • Skills Required
  • Expertise in Office 365, MS Teams. SharePoint and similar environments
  • Excellent written communication skills, including expert knowledge of English grammar, spelling, punctuation and usage, with the ability to edit and proofread content for clarity, concision, style and consistency
  • Excellent ability to format documents
  • Excellent ability to work collaboratively in a team environment
  • Excellent organizational and time management skills
  • Excellent attention to detail and critical thinking skills
  • Ability to develop and build relationships with a broad range of internal stakeholder groups and individuals
  • Ability to research/benchmark and to analyze results, in order to identify best practices and gaps relating to policies/procedures

Salary Range: $59,471.75 - $77,398.10
