The North Dakota State University Foundation is a separate 501(c)(3) organization which exists to maximize advocacy and philanthropy to support NDSU. Position Summary:
The Salesforce Administrator will be responsible for implementing, maintaining, and continuously improving the overall design, operation and configuration of Salesforce and the CRM for use across all advancement functions of the organization. This individual will work collaboratively with Information Services Leadership to understand needs and help set strategy toward maximizing the functionality of the Foundation’s Salesforce Platform. The SA will create innovative and highly usable solutions for business and functional goals.

The SA tailors and configures the system as needed to meet user requirements. They will apply in-depth knowledge of off-the-shelf applications to efficiently integrate solutions which are compatible with vendor guidelines, and which meet or exceed desired internal functionality. This position also provides ongoing support and training to all users of the system.

Essential Duties and Responsibilities:
  • Manage the configuration, installation, and maintenance of the Salesforce platform
    • Plan the logical storage structure of the system and its associated data
    • Identify, assess, and explain design options and their potential impacts
    • Assess applications for integration ability
    • Manage the Sandbox environment
    • Prioritize, plan, document, execute, test, and launch Salesforce projects
  • Monitor and Optimize platform capabilities
    • Maintain current knowledge of salesforce releases, features, and applications
    • Continuously cultivate expertise in fundraising industry practices and internal unit needs
    • Provide recommendations for process improvements, as well as development and/or upgrade of software or services
    • Responsible for continuous maintenance, upgrades, and enhancement of the Salesforce Platform
    • Provide input related to reporting and dashboard functionality
  • Serve as primary system administrator for the Salesforce environment for 60+ users
    • Monitor system health and security; resolve issues as they arise
    • Administer User access and management
    • Provide primary support for Salesforce related issues, resolve issues as they arise and provide day to day user support
    • Manage Data and Metadata backups
    • Manage and administer integrations and some integrated applications
  • Serve as the primary technical liaison with Salesforce and the CRM vendor
    • Ensure compliance with and provide input to service level agreements
    • Maintain current knowledge of releases, features, and applications. Plan ahead for upgrades, seasonal releases, and long-term projects
    • Take the lead on technical support and troubleshooting
  • Assess implications of technical enhancements within the CRM system
    • Collaborate to prioritize, plan, test and execute approved requests/improvements
    • Assist the process to incorporate automation using tools such as process builder, flow automation, validation rules
    • Work closely with the Associate Director of Data Services to discover, investigate and recommend system best practices
  • Act as the primary source of training and documentation
    • Create training tools, train new users and provide ongoing training to grow the Salesforce related skill set across the organization
    • Conduct training sessions and provide continuous and encouragement and oversight of user adoption
    • Create user documentation and maintain ongoing documentation for all areas of Salesforce administration including all processes and customizations made in Salesforce
  • Assist all members of the department in miscellaneous tasks when needed.
  • Other duties as assigned.
Essential Functions:

    • Efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.)
    • Maintain files accurately, in paper and in software programs
    • Maintain records and prepare reports
    • Handle multiple tasks simultaneously
    • Plan, prioritize and meet deadlines
  • Establish and maintain positive working relationships with others both internally and externally to achieve the goals of the organization.
    • Interact in an effective and appropriate manner with diverse populations, internal staff, University community and the public
  • Work cooperatively and effectively with others to identify and resolve problems and make decisions that enhance organizational effectiveness.
    • Maintain confidentiality of records and information

    • Follow through on projects with little supervision
  • Speak, listen, and write in a clear, thorough, and timely manner using appropriate and effective communication tools and techniques.

Minimum Qualifications:
  • Bachelor’s degree in Computer Science, Management Information Systems or related field
  • Minimum of two years’ experience as a Salesforce administrator
  • Strong understanding of the Salesforce Platform with the ability to build objects, formula fields, processes, custom views, and other content
  • Experience managing 3rd party integrations with Salesforce
  • Proven ability to analyze, design and optimize processes, increase user adoption, and drive best practices
  • Strategic thinking
  • Strong independent judgement
  • Proficiency with technology including Microsoft Office products
  • Excellent customer service skills with ability to describe technical topics from a business perspective
  • Effective communications skills including training presentation skills
  • Ability to apply technical/functional expertise, manage and improve processes, practice self-development, champion change and innovation
  • Ability to foster collaboration and inspire trust
  • Demonstrated project management skills in planning, coordinating, communicating, and delivering system enhancements
Preferred Qualifications:
  • Salesforce Admin (ADM201 and ADM211) certified
  • Salesforce for Nonprofits Consultant certification
  • Experience with nonprofit processes
  • Knowledge of fundraising systems
  • Experience in a higher education setting
  • Past experience implementing a platform
Physical and Mental Demands:
Constantly operates a computer/smartphone/tablet. Regularly required to maintain a stationary position, move about the office, determine what others have said or written, critical thinking and converse with others and exchange accurate information. Regularly required to sit, stand, bend, reach, and move about the office and within the community. May also include occasional bending, stooping, squatting, and/or pushing and pulling or moving objects. Occasionally required to move, raise, reach and/or retrieve binders, books, boxes, and files up to ten (10) pounds.
