SUMMARY
The Asset Management Analyst is responsible for tasks surrounding content management, which include several areas. Font management, ensuring policies are followed and programs are compliant within the collection. Content management tasks, including site set up, user set up and folder structure management; ensuring best practices are followed within the content management system. File fulfillment and archive management to ensure content is secured and correct versions delivered. Process improvement tasks as it relates to asset management. Special initiatives, assisting in process development, setting up documentation to track deliverables across teams, to ensuring deadlines are met.
PRIMARY RESPONSIBILITIES
Content Management Tasks
- Contribute to and participate in process improvement initiatives as it relates to Asset Management.
- Provide user access to particular systems and tools, including Alfresco, Google Drive, Extensis, etc.
- Alfresco site management - including site set up, user access and management, folder structure creation.
- Support for internal and external teams and their users. Provide clear, consistent, and up to date best practices, documentation, and training.
Folder Structure Management
- Support program teams by fulfilling requests for Product structures within Alfresco.
- Maintain, communicate and enforce baseline standards and best practices.
- Coordinate with the business to evolve structure as new requirements arise.
- Create and manage clear, consistent and up to date documentation and training.
- Perform periodic audits in Alfresco to ensure standards are followed and metadata is applied.
- Capture, manage and maintain product information for Alfresco, and PCS and related documentation.
File Fulfillment
- Address file fulfillment requests and provide timely delivery.
- Communicate the guidelines and procedures that are required to complete them.
- Provide direction for steps to obtain files when titles are not available in the archives and coordinate the archiving of those files once received.
Font Management
- Review font reports to ensure fonts used within particular program components are compliant for use.
- Communicate and enforce policies to ensure compliance.
Special Initiatives
- Support special projects/initiatives as they arise throughout the year.
- Coordinate the AMS portion and create trackers, develop workflows, documentation and train coworkers as needed.
- Work with other Savvas teams to build in efficiencies in workflow for all involved.
- Provide feedback and metrics to managers and complete tasks within the deadline.
Make sure tasks listed above align to applicable Savvas policies.
- Help communicate/resolve conflicts/issues
- Help communicate to Executive Leadership and Program teams Savvas initiatives & policies – any issues/gaps/recommendations to Savvas’ foundation
- Participate in assigned workgroups/committees
REQUIRED KNOWLEDGE AND EXPERIENCE
Associate's Degree in related field preferred. Equivalent work experience valued.
Related work experience and necessary skills
- 5+ years of electronic book production experience and/or multimedia development
- Knowledge of workflow and file management systems
- Experience working with integrated workflow tools like Alfresco
- Strong knowledge of publishing content development life cycle and workflow.
- Demonstrated ability to work effectively in complex organization structures; with technology and editorial organizations; with an ability to communicate to both non technical and technical stakeholders
- Experience with content/data transformation
- Expertise in working with various LMS and content delivery technologies
- Ability to learn new technology and tools
- Ability to understand business needs as applied to content management best practices
- Ability to work through problems and negotiate pragmatic workable solutions
- High level of initiative with the ability to work independently, along with demonstrated dependability.
- Strong verbal and communication skills as well as strength in interpersonal awareness, impact and influence, and cross-group collaboration
