Primary Duties and Responsibilities:
Coordinate the computerized schedules/appointment system and assist with providing training and development of the systems for staff both on and off campus as needed. Responsible for developing reports in the system and sharing data with department administrator. Maintain the accompanying records and office procedures necessary to support the systems. Attention to detail and a high level of organization is a key component of this position.


  • Manage a complex computerized counselor/advisor scheduling system and related support functions such as staff training and technical assistance.
  • Coordinate the daily operational schedule for the department including Counselors and Program Advisors
  • Coordinate the development of semester scheduling memorandums and requests for full-time and part-time counseling faculty and program advisors.
  • Research and prepare statistical reports using data from College computer systems and surveys, consolidate information for use in management decision-making. Data reports will be utilized in establishing front-desk procedures, staffing, planning programs, and center procedures.
  • Develop regular weekly and monthly reports to analyze department activities and prepare data reports as requested by the department administrator.
  • Provide input and recommendations for the improvement of services or procedures.
  • Responsible for the development and maintenance of process and resource manuals for department and provide training as necessary.
  • Assist in the design and production of office forms such as sign-up sheets, appointment reminders, transcript order forms, schedule change forms, appointment and group session reminder cards, etc.
  • Manage the year-long calendar for staff schedules, activities, projects, programing, and peak coverage needs.
  • Coordinate communication with Information Technology office for data systems, and monitor custom software; make recommendations for improvement.
  • Other related duties as assigned.

Qualifications:
  • Education
    • Associate degree in related field required.
    • Bachelor's degree preferred.
  • Experience
    • Minimum of two years with technical expertise regarding mining data, strong knowledge of and working experience with statistical packages for analyzing data (Excel), strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail required.
    • Computer/word processing experience in an educational or counseling setting preferred.
    • Business process analysis, major computer system implementations, and/or major analytical or research studies preferred.
    • Knowledge of SARS or Qless scheduling system preferred.
    • Knowledge of reporting packages (Business Objects, etc.) preferred.

  • Computer and Microsoft Office software, electronic appointment system, LAN Network, mainframe access, printers, multiple-line telephone, telephone call sequencer, phone headset equipment, general copy machines, calculator, cart for hauling materials.
  • Fast -paced, multi-faceted student service environment.
  • Must be able to handle several tasks simultaneously.
  • Occasional nights and weekends required.
  • This position requires a background check and drug screen.

Pay Grade:
Classified 10 Hourly-Hiring Range: $ 19.50 - 21.00

Competitive starting salaries are dependent on education and experience. College of DuPage also offers a generous benefits plan.
