The Senior Director of Business Affairs reports directly to the vice president for finance and management. This position is responsible to lead budget workforce planning activities within Finance and Management. Will develop policies and procedures for finance and management operations while providing guidance to the departments within finance and management. Will assist College’s executive leadership; ensuring that core processes and protocols are maintained, ensure finance and management public and campus community related activities are properly prepared for and coordinated, and the highest standards of confidentiality and customer service are promoted.
Administrative Operations (40%):
1. Communications: accountable as communications liaison for the vice president and the division. Write and edit documents, presentations and electronic content of all types that originate from the VPFM office, and coordinate divisional communications with the Marketing and Communications Office, other college divisions, and the President’s Office.
a. Websites – Create and manage websites for offices within the Finance and Management division such as the vice president’s office and the comptroller; and initiatives such as the administrative policy library, broad-based fees, records management, records access, the strategic resource planning process, trademark licensing, transportation services, and others as needed.
b. Organizational Charts – Create, update, post online and otherwise manage the divisional organizational charts of the institution.
2. Project Management: Manage recurring administrative activities, processes and reports that fall under the purview of the vice president. Acting as the liaison between the vice president and the divisional leadership team, will coordinate the contributions of leaders in the division to these administrative activities so that objectives and deadlines are met, and the projects are completed to the standards of the VPFM office. Is responsible for writing and editing related to these processes. Activities may include but are not limited to:
a. Monthly reports to the Buffalo State College Senate
b. Quarterly Bengal Business Forums hosted by the vice president
c. Annual process for UUP discretionary salary awards
d. Annual selection committee for the Chancellor’s Award for Excellence in Classified Service, etc.
3. Reporting/Assessment: produce reports, timelines, and graphics to communicate expectations and progress to goals for the division.
4. Policy: establishes, communicates, and implements operations-related policies, practices, protocols, standards, and security measures to ensure effective and consistent support and execution for Finance and Management operations.
5. Search Committees: Chair and serve on search committees as directed by the vice president.
6. Human Resource Management: Assist with human resource management workflow for the division, as needed. The senior assistant will be trained to function as back-up to the staff person with primary responsibility for this function.
Resources Management (40%):
1. Budgets: Manage the Finance and Management divisional budget and coordinate integrated resource planning (Strategic Resource Planning Process) for the division of Finance and Management.
2. Operational Efficiencies: Manage the development of integrated/shared services to support continuous improvement and cost savings within finance and management as well as the college.
3. Workforce Planning: Direct the development of key workforce planning models within finance and management, while creating strategies and forecast models for all operations. Utilize innovative solutions within the context of operational changes, challenges, and new initiatives to inform the organizational development of Finance and Management. Partner with business line leadership to diagnose and analyze current and future talent needs, including development of workforce planning tools, forecasts, attraction, and retention strategies.
Special Projects (15%):
Represent and support the vice president in special projects as needed:
a. Managing divisional communications for campus emergencies as appropriate
b. Managing divisional and departmental events
c. Managing the regular VPFM Leadership and Management Team retreats
d. Serving on campus groups such as the data governance committee and Middles States working group
Emerging Priorities (5%):
As assigned by the VPFM, will be responsible for responding to, or coordinating the response to, frequent emerging priorities and time-sensitive matters that arise in the VPFM office. This will be in addition managing ongoing projects.
