Summary

A part of the Cabinet Office, the Central Digital and Data Office leads the digital, data and technology (DDaT) function for government. We put the right conditions in place to achieve digital, data and technology transformation at scale by working with departments, and other government functions like commercial, project delivery and security professionals.

We are responsible for:

  • Digital, Data and Technology Strategy and Standards, like the Technology Code of Practice, the Service Standard and Open Standards
  • Cross-government DDaT performance and assurance, including Spend Controls
  • DDaT Capability Development, including the DDaT pay framework

In the Strategy, Performance and Assurance directorate we are responsible for:

  • Mobilising all of HMG around a single Digital and Data strategy;
  • Making the processes and systems of HMG (such as how we fund and deliver digital services) fit for the digital age;
  • Ensuring Digital, Data and Technology is a world-class function that meets the needs of departmental, official and ministerial stakeholders;
  • Monitoring progress against the Digital and Data Strategy and identifying opportunities for improvement;
  • Ensuring HMG spend on Digital, Data and Technology aligns with our single cross-government strategy;
  • Managing day-to-day operations of the CDDO organisation, such as governance, portfolio management, finance, people and the executive private office for CDDO.

Our priorities are:

  • Delivering the Cross-Government Digital and Data Strategy for 2022 - 2025;
  • Leading the system reform agenda, a programme of work to address systemic issues that prevent digital transformation of HMG;
  • Transforming the DDaT function through better data and insight;
  • Sharpening the focus of DDaT Assurance and deployment of a new operating model;
  • Implementing the new CDDO organisational design and establishing business operations, portfolio management and governance for CDDO.

Job description

As a Senior Executive Assistant in CDDO you will be exposed to decision making from the most senior leaders in the civil service and government. The role is a challenging one with a high level of exposure and responsibility.

As a Senior Executive Assistant you’ll:

  • Support the Director to ensure their diary runs smoothly and is the most effective use of their time and their email inbox is in order
  • Manage core office functions and processes, including the coordination of a daily information pack and weekly forward look note
  • Ensure that the Director is building the right relationships internally and across government to achieve the group objectivesManage an Executive Assistant within the directorate
  • Work with the Director to understand, articulate and progress priorities, both directly and through the senior management team; then ensure the directorate is organised in a way that helps to achieve these priorities
  • Commission, research and provide high quality briefing and advice for the Director.
  • Manage incoming requests in a timely and professional manner;
  • Provide Secretariat support for high profile DDaT boards, maintaining excellent quality of agendas, papers, minutes and running these events smoothly and on time with all logisitics in place.
  • Ensure the office adheres to proprietary guidelines by managing transparency returns and by tracking and archiving expenses
  • Ensure an excellent standard of information management within the directorate, including organised folders and supporting people across the directorate to store information in a structured way
  • Develop strong relationships with all stakeholders, including officials within the department, in other government departments and external stakeholders. Be a visible member of the team, able to advise on the Director’s behalf where appropriate
  • Identify opportunities to continuously improve the workings of the Directorate, drawing on feedback from the Senior Leadership Team and other colleagues
  • Support domestic or overseas visits, including travel arrangements (when applicable)
  • Supporting the teams with Ad-Hoc duties

Responsibilities

This role requires:

  • People with strong interpersonal skills who enjoy working in a delivery focused, agile environment. We’re looking for people who care about technology and who know how to make products, policies and services succeed, as well as stopping them from failing!
  • Demonstrable administration and support skills, with strong attention to detail
  • Excellent written and verbal communication, with the ability to communicate concisely and coherently to a wide variety of audiences
  • Experience of working with a wide range of stakeholders in a challenging and fast-paced environment
  • Demonstrable experience of managing a busy diary and the ability to work with a sense of urgency
  • Demonstrable experience of handling sensitive information, displaying tact and diplomacy and maintaining confidentiality
  • The ability to adapt these skills to a digital and agile working environment
  • Ability to use Google’s G Suite office apps and an Apple Mac computer

CDDO offers hybrid working for all employees. This means that everyone does some working from home/remote working and also spends some time in their local office. You will agree to your hybrid working arrangement with your line manager in line with your preferences and business needs.

If we receive a high number of applications, we may decide to include an additional round (this would typically be a short telephone interview or assessment/exercise depending on the type of role).

A reserve list will be held for a period of 12 months, from which further appointments can be made.

Candidates that do not pass the interview, however, have demonstrated an acceptable standard will be considered for similar roles at a lower grade.

Security level for the role; This role requires BPSS security clearance.
