We are looking for a Senior Executive Assistant to support our Deputy CEO – Americas, Dairy, Plant-Based & Sales. Our perfect candidate is proactive, organized, thrives in a fast-paced environment, problem solves independently, and anticipates the needs of company leaders. The EA will manage a wide range of advanced administrative and executive support-related tasks, will be able to work independently within guidelines, and will make independent decisions regarding planning, organizing, and scheduling.
- Provide executive assistance to support CEO including extensive internal and external calendaring, business travel, large-scale meetings, expenses, and special projects.
- Manage demanding calendaring requests with limited oversight, including partnerships across the organization to coordinate with calendars of other senior executives.
- Owns CEO Leadership Team Meeting support: meeting agenda & cadence, select meeting attendance, meeting note creation & distribution, assistance with reminders and follow-up.
- Work with department admins to lead and support department meetings and events, including internal team events, team off-sites, business and operational reviews, and other team meetings, including meeting rooms arrangements and catering requests.
- Coordinate complex travel and expense reporting using Concur, inclusive of the submission of expense reports after each trip or event.
- Contribute to PowerPoint presentations as needed for key meetings.
- Maintain high standards of confidentiality and information security when given access to sensitive information.
- Serve as the brand extension for leaders you support, escalating and communicating on their behalf and serving as a team liaison.
- Contribute to the excellent reputation of the company and the leadership team through professional, and respectful interactions with all internal and external stakeholders.
- Onboarding logistics for new hires reporting to CEO.
- Manage assigned business related projects with minimal supervision.

About you
- You have an associate degree and minimum 10 years relevant experience.
- You are Bilingual (English & French) or trilingual (English, French, Spanish) preferred
- Experience in working in global context / collaboration among broad stakeholders preferred
- You have the ability to multi-task, prioritize work assignments and to be resourceful in finding answers with little information.
- You display excellent emotional intelligence and communication skills with the ability to interact & collaborate effectively with others.
- You can understand the big picture and anticipate relevant opportunities & challenges, you can proactively build solutions.
- You work with speed and decisiveness to make the right decisions in high-pressure situations.
- You have experience in supporting multiple senior leaders simultaneously. Experience and comfort working with and supporting C-suite level is critical.
- You are an excellent communicator, both written and verbal, and have confidence in sharing communications on behalf of the leadership team
- Experience using Microsoft Teams and educating others of the technology is a plus. The ability to adapt to new collaboration and digital technology is necessary.
- You have strong skills using Microsoft Word, Excel, PowerPoint, and Outlook
- You have working knowledge of social media (Workplace).
- You have knowledge of SAP, Concur and OneBuy as a plus.

The base compensation range for this position is $90,000 - $130,000.
